Job Title: Senior Operations Assistant
Compensation: $1500 - $1800 (commensurate with seniority and experience)
Timezone: Eastern Time Zone
Working Schedule: 8:30 AM - 4:30 PM Monday - Friday
Job Summary:
We are seeking a highly organized detail-oriented and proactive Operations Coordinator/Assistant to ensure the smooth and efficient operations of the company. This role involves overseeing daily workflows monitoring team performance managing deadlines and supporting management with administrative and operational tasks. The ideal candidate will have strong communication skills a process-driven mindset and the ability to work independently while driving efficiency across teams.
Key Responsibilities:
Oversee day-to-day company operations to ensure tasks are completed accurately and on time.
Monitor team performance track progress on deliverables and flag any issues or delays to management.
Develop update and maintain Standard Operating Procedures (SOPs) and onboarding materials for consistency and scalability.
Recommend and implement process improvements to enhance operational efficiency and productivity.
Assist with deadline management by proactively notifying leadership of upcoming deadlines and ensuring accountability across teams.
Act as a project coordinator aligning resources and timelines to achieve business objectives.
Facilitate clear communication between management and operational teams to ensure alignment.
Support change management initiatives including the adoption of new systems tools or workflows.
Provide ad-hoc administrative support to management and the executive team as needed.
Required Qualifications:
4 years of experience in operations project coordination or administrative support roles.
Strong organizational and multitasking skills with exceptional attention to detail.
Excellent written and verbal communication abilities.
Proficiency in productivity and project management tools (e.g. Asana Trello MS Project).
Self-motivated with a proven track record of improving processes and driving efficiency.
Experience working in a fast-paced deadline-driven environment.
Preferred Qualifications:
Diploma or degree in Business Administration Operations Project Management or a related field.
Familiarity with KPI tracking and performance management frameworks.
Experience creating training materials onboarding documentation and process guides.
Knowledge of software systems used to manage and integrate core business processes.
