Job Summary

Reports to: Principal / Office Manager

Position Summary:

The School Front Desk Receptionist serves as the first point of contact for students families visitors and staff. This position is responsible for creating a welcoming and professional environment providing excellent customer service and supporting the efficient operation of the school office.

Key Responsibilities:

Front Desk & Visitor Management

  • Greet and assist students parents staff and visitors in a courteous and professional manner.

  • Answer screen and direct phone calls; take accurate messages as needed.

  • Manage visitor sign-in/out procedures and issue visitor badges.

  • Monitor security protocols for entry into the building.

Administrative Support

  • Assist with correspondence filing copying scanning and data entry.

  • Maintain student attendance records and issue tardy/early dismissal passes.

  • Distribute mail packages and school communications.

  • Support staff with scheduling room reservations and general office tasks.

Communication

  • Serve as a liaison between families and school staff directing inquiries appropriately.

  • Share school announcements and reminders with clarity and professionalism.

  • Handle sensitive information with confidentiality and discretion.

Operational Support

  • Assist with preparation of school events forms and communications.

  • Maintain an organized welcoming front office space.

  • Provide emergency support including contacting parents/guardians and coordinating with staff as directed.

Qualifications:

  • High school diploma or equivalent (associates degree preferred).

  • Prior experience in an office customer service or school setting strongly preferred.

  • Excellent verbal and written communication skills.

  • Proficiency with Microsoft Office (Word Excel Outlook) and ability to learn school information systems.

  • Strong organizational skills attention to detail and ability to multitask.

  • Friendly professional demeanor with a commitment to confidentiality.

Working Conditions:

  • Part-time (Tues/Thurs/Fri during school hours). Summer hours (Tues/Wed/Thurs 9-1)

  • Requires sitting standing and light lifting (up to 20 lbs).

  • Frequent interaction with students parents and staff in a busy office environment.

Must be a faithfully practicing Catholic
