Description
The Coordinator of External Scholarships plays a critical role in supporting student success by managing and optimizing scholarship opportunities. This position is responsible for identifying promoting and administering internal and external scholarships guiding students through the application process and collaborating with departments to ensure equitable distribution of funds. The Coordinator will also be responsible for building strong relationships with external scholarship providers high school counselors and community partners to support student access to funding. The Coordinator will also support financial aid/scholarship outreach efforts including hosting and attending workshops focused on FAFSA completion financial literacy and scholarship application.
Examples of Duties
- Research and maintain a comprehensive database of scholarship opportunities.
- Proactively reach out to high school counselors community organizations foundations and professional associations to gather information on available scholarships.
- Communicate scholarship opportunities to students through digital platforms print materials and in-person presentations.
- Advise students on eligibility application procedures and deadlines.
- Provide one-on-one guidance to students seeking external scholarships.
- Collaborate with academic departments financial aid staff and external organizations to promote scholarship opportunities.
- Develop and deliver workshops presentations and outreach materials related to scholarships.
- Monitor scholarship fund usage and ensure compliance with donor requirements and institutional policies.
- Collaborate with University Advancement Admissions and other departments as needed to support donor relations and outreach.
- Assist in writing and submitting reports as needed on scholarship impact and utilization.
- Stay current with trends and changes in scholarship funding and financial aid regulations.
- Assist with the reconciliation of outside scholarship accounts.
- Enter outside scholarships and other data into the Banner system as necessary.
- Serve as a liaison between the Financial Aid Office and University Foundation for institutional scholarship coordination.
- Collaborate with the University Foundation staff to optimize the student scholarship application process.
- Host financial aid workshops as needed to assist students at the main campus and in high school with the financial aid and scholarship application processes.
- Please note that some weekend and evening work may be required during peak processing times.
- Other duties as assigned by supervisor.
Typical Qualifications
- Bachelors degree preferred but not required.
- Experience in financial aid student services or scholarship administration preferred.
- Strong knowledge of scholarship databases financial aid systems and FERPA regulations.
- Excellent written and verbal communication organizational and interpersonal skills.
- Ability to provide exceptional customer service to students parents and co-workers at all times.
- Ability to work independently and collaboratively in a fast-paced environment.
- Proficiency in Microsoft Office and student information systems (e.g. Banner Excel Word).
