PURPOSE OF THE ROLE

The BBC Proms is the biggest classical music festival in the world. We run over 100 live events over 2 months in the summer at the Royal Albert Hall in London and venues around the UK. Nearly everything we do is broadcast across BBC Radio TV and online. We are a creative innovative festival that connects with audiences around the UK and across the globe.


You would be part of a dynamic team that looks after Marketing Learning Communications Publications Business and Live Events. You will build skills in your chosen area and everyone on the team has a chance to work at events.


In any single week at the BBC Proms you could be working on events as wide-ranging as the First and Last Nights of the Proms family events such as our CBeebies concerts a collaboration with a world-class visiting orchestra or for the BBC Orchestras and Choirs.

WHY JOIN THE TEAM


The Proms Publications Co-ordinator provides a wide range of administrative and editorial support services to the Publications team to enable it to achieve its objectives. They work closely with the Publishing Manager (line manager) Editorial Manager Sub-Editor and Designer to support the teams work in producing printed and online concert programmes for the BBCs performing groups and for the BBC Proms as well as producing the BBC Proms Festival Guide.


YOUR KEY RESPONSIBILITIES AND IMPACT:

  • Provide day-to-day administrative assistance to the Proms Publications Unit including maintaining office systems and supporting the production of printed programmes and related materials.
  • Assist with writing sub-editing biographies proofreading researching information and distributing proofs and contributor copies.
  • Handle picture research and acquisition for publications liaise with external sources and manage receipt of biographical materials and photographs.
  • Support the Publishing Manager with adverts deliveries merchandise budget spreadsheets invoice payments and freelance contributor payments.
  • Maintain and develop administrative systems and processes and manage the archiving of programmes and other materials.


YOUR SKILLS AND EXPERIENCE

ESSENTIAL CRITERIA:

  • Proven experience providing comprehensive administrative and editorial assistance to a busy content production team ensuring smooth day-to-day operations.
  • Excellent command of written English and grammar with hands-on experience in proofreading and sub-editing content.
  • Highly organised and proactive with the ability to manage competing priorities and tight deadlines while maintaining composure under pressure.
  • Skilled in building and maintaining effective working relationships with a wide range of internal and external stakeholders including artists agents suppliers and partner organisations.
  • Confident using digital platforms and tools such as Dropbox Google files Pinterest CMS and social media; willing to learn and use BBC systems including SAP Smartsheet Quick Order and Excel.

DESIRED BUT NOT REQUIRED:

  • Interest in classical music and live music in general.
  • An understanding of publishing software eg InDesign and willingness to be trained to use it.
  • Knowledge of publication procedures and systems.
  • Knowledge of or interest in researching illustrative material relating to classical music and how to obtain it.
  • Ability to balance creative aspirations with resource and cost constraints.
