Classification Summary:
The NMDA Admin Services Coord III ensures operational and administrative efficiency for the New Mexico Department of Agriculture (NMDA) primarily managing the agencys vehicle fleet and overseeing facility operations at the main office and satellite locations. This role ensures regulatory compliance coordinates scheduling and maintenance tracks usage maintains documentation and serves as the main contact for vehicle-related needs in alignment with NMSU policies. Duties include performing minor vehicle repairs purchasing vehicles and equipment researching recalls and conducting inspections. The position also manages facility services including coordinating service requests conducting repairs maintaining safety/security features and addressing grounds and pest control needs. Additionally the role ensures adherence to contracts insurance requirements and compliance with university state and safety regulations.
Classification Standard Duties:
The NMDA Admin Services Coord III plays a critical role in ensuring the operational integrity and administrative efficiency of the New Mexico Department of Agriculture (NMDA) with primary responsibility for managing the agencys fleet of vehicles and overseeing facility operations across NMDAs main office and satellite locations. This position ensures compliance with regulatory requirements and supports the day-to-day operational needs of the department by providing scheduling maintenance coordination usage tracking documentation and serving as the primary point of contact for all vehicle-related operations in alignment with New Mexico State University (NMSU) systems and policies. This position will perform minor vehicle repairs and maintenance purchase vehicles and equipment to meet the requirements for conducting NMDA regulatory duties while ensuring safety standards are met research and address vehicle recalls with manufacturers and conduct vehicle addition the NMDA Admin Services Coord III handles all facility services for NMDA and its satellite locations. This includes coordinating service requests monitoring facility conditions and supporting day-to-day operational upkeep to ensure a safe functional and well-maintained work environment. This position will conduct minor repairs of structures install and update safety and security functions in and around buildings conduct ground and pest maintenance and identifies and addresses facility issues. The role also ensures that contracts insurance requirements government regulations and compliance with university and state policies and safety standards are consistently met and up to date.
Required Education Experience Certification/License Equivalency
Education - High School diploma Experience- Two (2) year of progressively responsible experience in operational coordination fleet and/or facilities management procurement or administrative services. Equivalency- Any combination of education training and/or direct experience in this occupation as approved by Human Resource Services. Required Certification/License:

Job Duties and Responsibilities
The NMDA Admin Services Coord III is responsible for overseeing the full lifecycle management of the New Mexico Department of Agricultures (NMDA) vehicle fleet. This includes vehicle acquisition assignment maintenance coordination fuel usage tracking compliance documentation and surplus processing. The coordinator ensures all fleet operations comply with university state and federal regulations related to safety emissions insurance and driver eligibility while also serving as the primary point of contact for all fleet-related matters including vendor relations service scheduling inspections and regulatory reporting. Additionally the position monitors and analyzes vehicle performance and usage data to optimize efficiency and make informed recommendations regarding fleet replacements and policy improvements.
In the area of facilities management the coordinator leads operational support for NMDAs main headquarters and satellite locations. Responsibilities include initiating maintenance requests coordinating building inspections monitoring facility conditions and scheduling routine services to ensure compliance with safety environmental and accessibility standards. The position also supports and coordinates small-scale construction remodeling and space utilization projects in partnership with NMSU Facilities and Services. Beyond fleet and facility responsibilities the coordinator supervises a range of centralized operational services such as mail distribution logistics telecommunications infrastructure printing and reproduction services records management and secure data handling. This role also oversees the procurement of major equipment and operational assets in accordance with NMSU and state purchasing policies maintaining detailed records to support audit and compliance requirements. The coordinator contributes to risk management by identifying operational hazards ensuring adherence to safety protocols and managing insurance and contractual documentation. The position supports operational budgeting through cost analysis inventory tracking and forecasting for fleet and facility needs while also implementing and enforcing internal procedures and service standards. Collaboration with internal departments and external vendors is essential to ensuring responsive and effective support across all assigned operational areas. The coordinator may also perform other duties as assigned in support of NMDAs mission and operational efficiency.
