Job Summary

POSITION TITLE: Finance Manager

REPORTS TO: Vice President of Finance and Administration

COLLABORATES WITH: Third-party accounting/consulting firm

GENERAL RESPONSIBILITY:

The Finance Manager supports the financial operations of the organization through effective management of daily accounting functions ensuring accurate and timely financial reporting internal controls and regulatory compliance. This role also serves as a key liaison with the organizations third-party financial consulting firm to maintain high standards in nonprofit accounting and fiscal oversight.

KEY RESPONSIBILITIES:

Accounting Operations & Internal Controls

Manage and support accounts payable cash disbursements and expense reconciliation processes in accordance with nonprofit GAAP and internal control policies.

Receive record and reconcile cash receipts checks ACH and wire transfers; ensure proper coding and deposit procedures.

Oversee the implementation and ongoing configuration of accounts receivable and fixed asset software ensuring integration with the fund accounting system.

Maintain the general ledger including preparation and review of journal entries revenue and expense accruals and month-end/year-end closings.

Assist with cost allocation methodologies and periodic reviews ensuring compliance with OMB Uniform Guidance (2 CFR Part 200) for federally funded programs.

Support maintenance and updates to the chart of accounts and accounting segments in consultation with the VP of Finance and Administration.

Reporting & Budgeting

Collaborate with the VP of Finance and Administration to develop monthly quarterly and annual financial statements board reports and funder-specific reports.

Coordinate with internal teams to prepare organizational and program-specific budgets; support grant budget development and monitoring throughout the grant lifecycle.

Lead reconciliation and review of general ledger accounts including detailed analysis of variances and trends.

Partner with the VP to issue monthly budget vs. actual reports identifying and investigating any material variances.

Prepare drawdowns and reimbursement requests for grants and contracts ensuring timeliness and accuracy.

Compile and submit financial data and reports to funders as required ensuring timely and accurate compliance reporting.

Collaboration & Consulting Oversight

Act as the internal point of contact for third-party accounting/consulting firm; coordinate communication data sharing audit preparation and technical assistance.

Ensure consistency and transparency in application of accounting policies by working closely with the consulting firm and aligning with best practices.

Participate in periodic reviews of financial processes and internal controls conducted by third-party consultants and implement recommended improvements.

Payroll & HR Coordination

Work in coordination with Finance and HR to ensure accurate and timely payroll processing including reconciliation of payroll liabilities and taxes.

Assist with review and maintenance of employee compensation cost allocations across multiple grants/programs.

Fixed Asset Management

Maintain fixed asset records including acquisition disposal and depreciation schedules; ensure physical inventory tracking aligns with accounting records.

Implement and manage fixed asset software and processes that integrate with accounting and compliance requirements.

Compliance & Audit Support

Ensure compliance with grant requirements fiscal policies and regulatory standards including those from federal state and private funders.

Support preparation and documentation for annual audits 990 filings and other regulatory submissions.

Ensure documentation and retention of all financial transactions per funder and legal requirements.

Other

Provide backup support to finance team members as needed and contribute to cross-training and knowledge sharing.

Participate in process improvement initiatives related to financial operations and systems modernization.

Perform other duties as assigned.

QUALIFICATIONS:

Bachelors degree in Accounting Finance or related field clerical accounting accounts payroll preferred

Experience in non-profit accounting preferred

Experience in electronic data processing particularly spreadsheets and general ledger accounting

Ability to work with people of diverse and varying socio-economic backgrounds.

PHYSICAL REQUIREMENTS

Prolonged periods sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.
