Job Description

So what are we looking for
We are seeking a proactive and detail-oriented Facilities Coordinator to support our Facilities Specialist in daily operations with a strong emphasis on policy procedure and compliance. This role is essential to streamlining facility requests vendor coordination and documentation management across multiple locations.
What are your responsibilities
  • Facility Help Desk Coordination: Promote and manage use of the Facility Help Desk for all facility-related requests.
  • Maintenance & Utilities: Coordinate repairs manage utility connections/disconnections and maintain online access.
  • Vendor & Contract Management: Assist with vendor setup (W-9 COI contact info) track Certificates of Insurance and create service contracts using standard CTI templates.
  • Procurement & Invoicing: Generate and file purchase orders monitor invoice payment status.
  • Compliance Tracking: Maintain schedules for annual inspections (fire extinguishers alarms elevators backflow) and update insurance and location lists.
  • Documentation & Reporting: Maintain lease abstracts facility info sheets and location data for internal reporting and audits.
  • Support Services: Oversee water/beverage service and other location-specific needs.

Does experience count
  • Experience in administrative support facilities or operations.
  • Strong organizational and communication skills.
  • Familiarity with policy documentation and vendor management.
  • Proficiency in Microsoft Office and document tracking systems.
  • Ability to manage multiple priorities and maintain confidentiality.
