Receptionist ROLEWe need an experienced Administrative Support professional to serve as a Receptionist at the U.S. Trade and Development Agency (USTDA). USTDA helps advance overseas infrastructure projects that create opportunities for U.S. exports while supporting this role you will staff and operate USTDAs primary and secondary reception areas greeting visitors and callers issuing badges coordinating visitor access and providing professional assistance to high-level domestic and international guests. You will also manage clerical and facilities-related requests support conference room scheduling and ensure reception areas are organized and professional at all times. - Greet and assist incoming visitors including senior government officials foreign dignitaries congressional staff and private sector executives and issue visitor badges
- Receive and route incoming telephone calls and inquiries to the appropriate office or individual
- Coordinate visitor access with building security and maintain accurate visitor logs
- Handle clerical support tasks including arranging local transportation distributing parking vouchers and Metro cards and processing courier deliveries
- Log and respond to facilities requests submitted by agency staff generating work order tickets coordinating with building management and escalating issues when necessary
- Coordinate conference room scheduling and assist staff with meeting arrangements
- Maintain the reception areas to ensure they are clean well-organized and professional in appearance at all times
- Provide additional administrative support as required to assist agency operations
REQUIRED SKILLS/EXPERIENCE- 1-3 years of experience in a professional office environment as a support assistant or receptionist or equivalent position
- Experience handling phone calls emails and mail serving as the point of contact for internal and external communication
- Experience managing calendars scheduling meetings appointments and greeting high level guests
- Experience creating and distributing correspondence reports and other documents
- Track inventory of office supplies and notifying admin office of need to replenish those supplies.
- Experience providing general office support like various administrative tasks data entry filing and customer service
- Ability to manage multiple tasks and prioritize effectively
- Ability to manage the receptionist area
- Effective written and verbal communication skills for interacting with various individuals
- Proficiency in office software and equipment
REQUIRED EDUCATION / CERTIFICATIONS- High School diploma required
- Undergraduate degree preferred
