El Paso Center for Children (the Center herein) Family and Youth Success (FAYS) Program Quality Coordinator Job Description Compensation:$17.50 - $19.00 per hour. Employees in this role may also be eligible for incentive bonuses based on performance and program outcomes.
Position Classification & Compensation This role is classified as a full-time non-exempt or exempt as those terms are defined in the Centers Employee Handbook and is eligible for employee benefits as defined for this classification.
Summary: The Quality Coordinator supports the FAYS program by ensuring quality and compliance in data files reporting and program operations. This position supervises Program Specialists (data entry staff) reviews reports and files for accuracy conducts regular audits and ensures that information is entered and maintained consistently across systems including PEIRS (grantor database) and the in-house database. The Quality Coordinator also develops data entry systems controls and analysis tools to ensure consistent quality throughout the data entry process while providing general administrative and program support to the department as needed. Highly flexible and adaptable this role requires the ability to multitask prioritize and respond quickly to program needs while maintaining accurate records supporting billing and reporting and contributing to the overall quality and effectiveness of services. The scope of work is subject to change as needed to ensure all projects are completed. Likewise complementary changes may be made to projects or individual goals and employee expectations based on agency/management strategic goals. Primary Duties and Responsibilities
Supports the Program Director with quality oversight reporting audits and compliance needs.
Supervises Program Specialists (data entry staff) by providing coaching evaluations and development to ensure quality and timeliness.
Completes data entry and serves as the main backup for Program Specialists working alongside them to ensure coverage of core tasks.
Provides training to new employees in data systems quality controls and documentation standards.
Performs cross-checks between the grantor database (PEIRS) and the in-house database (Extended Reach) to ensure accuracy and consistency.
Conducts ongoing file audits prepares audit reports for leadership and ensures files and data are audit-ready for monitoring visits and external reviews.
Reviews reports and metrics to identify and resolve data quality issues and analyzes trends to recommend process improvements.
Monitors compliance deadlines (reports audits trainings) and provides timely reminders to staff and leadership.
Ensures that files records and data are accurately maintained organized and readily available for use; prepares mock files and maintains accurate historical records.
Produces and presents reports; coordinates billing with the Program Director to ensure accuracy.
Supports supervisors in developing data entry systems controls and analysis tools and provides suggestions for database enhancements or policy/procedure updates tied to quality.
Assists in staff meetings by preparing and presenting reports data checks and quality updates.
Provides reception coverage by answering phones greeting visitors assisting clients and ensuring a welcoming front office environment.
Supports family engagement activities outreach and event coordination as needed.
Assists in general program activities with workload and priorities adjusted by the supervisor based on program needs.
Completes special administrative projects and overflow work (meeting minutes supply orders scheduling etc.) including occasional errands such as delivering/picking up supplies or event items.
Acts as a liaison between staff and leadership regarding quality concerns reporting and follow-up on documentation corrections.
Ensures program activities and documentation meet contract and agency standards.
Participates in leadership development and training to strengthen supervisory and quality management skills.
Maintains strict confidentiality regarding all client and agency information.

Qualifications Minimum qualifications for this position include:
High School Diploma or equivalent required; bachelors degree preferred.
At least two years of experience in data entry administrative support (including front desk) and human services or a related field with emphasis on compliance reporting and performance monitoring.
At least one year of experience supervising and coaching staff (two years preferred).
Experience with quality assurance compliance monitoring performance measurement and reporting.
Bilingual (Spanish/English) ability preferred.
Strong computer skills including proficiency with Microsoft Office Suite (Word Excel PowerPoint); familiarity with data management or case management systems preferred.
Excellent time management organizational and interpersonal skills with the ability to communicate effectively with individuals from diverse backgrounds.
Demonstrated ability to adapt to shifting priorities and varying workloads based on program needs.
Strong attention to detail and proven ability to maintain accuracy and quality in data documentation and reporting.
Must have a valid drivers license a vehicle in safe operating condition and maintain proof of current insurance at Texas minimum standards.
Must be able and willing to travel for training meetings and conferences.
Must be able to walk sit stand and lift and carry at least 25 pounds.
