Job Description

ASSOCIATION MANAGER
GENERAL SUMMARY

As an Association Manager you will support the Etherio Client - Association for Dental Safety (ADS)- a mission driven association focused on dental infection prevention and safety education and training. The Association Manager is a key member of the Etherio Association Management team supporting the clients Executive Director and Board of Directors. This role is responsible for the associations effective management of daily operations communications marketing events and educational programs. The Association Manager works closely with board members volunteers staff and vendors to ensure organizational excellence.

ESSENTIAL FUNCTIONS
Association Management
  • Operate in compliance with association-specific policies.
  • Respond to client requests in a timely professional manner.
  • Serve as the voice of the organization conveying the culture of family/community in every interaction.
  • Work effectively with volunteer committees and interface with members.
  • Support the overall goals and objectives of the association through additional responsibilities as required.
  • Provide input into client and Etherio Association Management Business Unit operations processes procedures and policies.
Board and Governance
  • Prepare and update dashboards using data from multiple sources (Finance Membership etc.)
  • Attend Association and Foundation board meetings monthly assist with meeting minutes and update the Board portal.
  • Send Board communications on behalf of the Executive Director.
Marketing and Communications
  • Compose and oversee communications including emails weekly InfoBites press releases blog posts event promotions and announcements.
  • Plan and manage the content calendar.
  • Design and produce high-quality visual assets in Canva.
  • Manage and monitor all ADS social media accounts.
  • Organize coordinate and execute the annual Dental Infection Control Awareness Month (DICAM) campaign.
  • Coordinate Ad creation and placement in corporate sales flyers.
Webinar Management
  • Oversee end-to-end planning and execution of CE webinars (e.g. call for proposals & review process scheduling speaker agreements Zoom setup CE Course setup in LMS event calendar setup speaker support live moderation upload recordings to Vimeo and LMS.).
  • Organize and execute Industry Insights: Product Discovery webinars in collaboration with Super Sponsors and Corporate Members.
  • Track webinar analytics gather feedback and prepare reports to support continuous improvement and sponsor relations.
Website Management
  • Create and update website content and graphics.
  • Maintain accurate and engaging information on website.
  • Manage custom forms for various association programs.
  • Track and report website usage data.
Learning Management System (LMS) Management
  • Set up and manage courses for Infection Control in Practice webinars and other continuing education (CE) offerings.
  • Upload and organize course materials (PDFs videos images) within the LMS.
  • Configure quizzes assessments instructor profiles and CE certificates.
  • Assist in conducting user acceptance testing (UAT) for new courses.
Event Support
  • Assist in the design and production of event signage name badges and collateral.
  • Support the setup and maintenance of the event mobile app and website.
  • Coordinate logistics for live and silent auctions including communication and item management.
  • Provide onsite assistance with event set-up registration attendee inquiries and general logistics.
General Operations
  • Serve as back-up support for all association email inboxes and phone line responding to member and non-member inquiries.
MINIMUM AND PREFERRED QUALIFICATIONS
  • Bachelors degree or equivalent experience.
  • At least 2 years experience ideally in a non-profit or association setting.
  • Demonstrated achievements in project management organizational skills and administrative responsibilities.
  • Excellent oral and written communication skills with strong interpersonal presentation and networking abilities.
  • Proficiency in Microsoft Office (Word and Excel) with the ability to quickly learn and adapt to new software and platforms.
  • Experience with association software (such as MemberClicks) and learning management systems.
  • Skilled with tools like Canva Zoom Hootsuite Vimeo ClickUp Google Analytics and Smartsheet.
  • Proficient in database management and communication systems emphasizing accuracy and attention to detail.

WORKPLACE LOCATION REQUIREMENTS
We operate as a Hybrid work environment working as a combination of remote and in-office presence as well as the possibility of being onsite at client and/or event locations.

TRAVEL REQUIREMENTS
Ability to travel at least 30% per year.

SCHEDULING REQUIREMENTS
Requires flexibility in scheduling such as the ability to work evenings and weekends to meet client event or company needs.

  • Must be able to remain either in a stationary sitting position for extended periods (such as when working in the office) while also being able to stand and/or move for extended periods (such as when executing events onsite).
  • Need to lift carry push or drag boxes or equipment up to 30 lbs.
  • Frequently moves inside the office to access filing cabinets office machinery etc.
  • Need to adapt and function in various physical settings (for example conference centers indoor and outdoor spaces).
  • Occasionally required to position self in a stooping kneeling or crouching manner.
  • Frequently communicates with others and must be able to exchange accurate information in these situations.
  • Frequently uses computers and other electronic equipment.
