Job Description

Job Duties

Provide administrative support to the First Level Appeals Unit so that unemployment insurance (UI) appeals are received and processed timely and professionally by Appeals Examiner (AE) staff.

Retrieve and sort mail open and review documentation date-stamp each page and log in receipt; scan and/or file relevant documents; enter data in benefits system and electronic logs to report appeals workflow status; forward appeal request for case review and issue identification; ensure all legal documents are legally and factually prepared; schedule re-schedule and/or cancel appeals hearings; apply knowledge of guidelines laws rules and regulations to preparing the case file for Appeals Examiners and/or other parties; and/or process final decision documentation.

Respond to inquiries (written facsimile e-mail and phone) from various parties regarding basic appeals questions and refer non-routine inquiries to appropriate staff.

Ensure actions comply with program and confidentiality requirements.

Based on business needs may provide assistance with document retrieval distribution and/or special projects.

Minimum Qualifications

Basic knowledge of general office procedures practices and equipment; standard English grammar and punctuation; and legal processes and terminology.

Strong organizational time-management administrative (e.g. responding to requests processing documentation and filing) oral and written communication and computer (e.g. data entry scheduling word processing and research) skills.

Ability to maintain accurate case records manage time prudently pay attention to details adapt to new computer systems and processes.

Ability to follow established policies and protocols adhere to set time constraints complete projects accurately and on short notice.

Ability to maintain confidentiality and file documentation.

Ability to work independently and as part of a team and cross train in and cover other administrative responsibilities as required.

Additional Considerations

Basic knowledge of unemployment insurance benefits or the appeals process.

Basic knowledge of administrative hearing procedures.

Experience working in a legal and fast-paced environment.

Experience using OneDrive VUIS C2T eFax and various bot technologies..
