*the ECEWE top-up from the Provincial Government is separate from your base wage as it is offered directly from the provincial government. If the ECEWE program is cancelled or Fernwood NH is unable to participate your total wage will be your base wage.
Location: Fernwood Neighbourhood House 1240 Gladstone Avenue Victoria BC
Hours: Monday-Friday. Scheduled shifts may fall between 7:15 am - 5:30 pm.

Position Overview
The Child Care Programs Coordinator is responsible for the day-to-day front-line operations of our Fernwood Neighbourhood House & upcoming Vic High coordinator works closely with the front-line staff to ensure that program delivery is holistic and aligned with the organizations values and the Early Learning Framework. This includes program and curriculum planning communicating and working effectively with staff families and children connecting with the community mentoring students recording appropriate documentation maintaining current files developing a strong team and providing leadership in keeping with the philosophy of Fernwood NH Child Care Programs. This position works collaboratively to ensure that the programs meet licensing requirements.

Responsibilities:
Program & Compliance Management
Assist Childcare Managers overseeing daily operations of Fernwood NHs licensed Child Care programs in partnership with Team Leads.
Ensure all activities reflect our values (diversity inclusion justice decolonization equity).
Manage supplies by sending inventory to managers for approval and confirming frontline staff have necessary resources.
Coordinate with the Childcare team on family communications for:
Wait-pool inquiries (escalate to Administrative Assistant)
Registration forms (forward to Childcare Managers & Administrative Assistant)
Subsidy applications and invoicing (direct inquiries to Administrative Assistant)
Provide accurate staffing data to the Childcare Managers for billing and for partnerships with Supported Child Development & Aboriginal Supported Child Development programs.
Maintain VIHA licensing compliance (staffing reporting documentation).
Support the Childcare Managers in developing care plans for children needing extra assistance.
Collaborate with the Childcare Managers on staff training program growth and change initiatives.
Parental & Community Relations
Build and maintain positive relationships with families and with the broader child care community.
Communicate promptly and professionally about staffing daily updates supports for children and behavioral concerns (escalate violent or care-planabsent issues to the Managers).
People Management
Coach and supervise Team Leads through weekly check-ins; assist the Childcare Managers with monthlystaff meetings.
Partner with the OSC Manager and Early Years Manager on recruitment onboarding retention and professional development for school-age and early years child care staff.
Advise on conflict resolution performance feedback and ensure staff follow appropriate guidance strategies.
Maintain up-to-date staff and child records (including certifications).
Provide front-line and inclusion coverage as needed; collaborate with Early Years coordinators to meet ratiosescalating administrative capacity concerns to the childcare Managers.
Qualifications
Valid ECE or Infant/Toddler Educator (ITE) certification in BC
Special Needs Educator (SNE) certification is an asset
Minimum 2 years working directly with children aged 511
Demonstrated experience supporting children with diverse needs and risk factors
Familiarity with BCs Community Care and Assisted Living Act Child Care Licensing Regulations and Operating Funding guidelines
Experience coaching delegating and resolving conflicts in a team environment
Comfortable using Microsoft Office (Word Excel Outlook) and scheduling or database tools
Knowledge of workplace health and safety standards and the ability to follow protocols
Skills:
Strong strategic thinker with the ability to plan prioritize organize and execute in a busy non-profit setting
Proven ability to take ownership of program goals identify training needs and seek external support when required
Excellent verbal and written communication skills; able to build trust across diverse cultures and life experiences
High level of discretion and understanding of confidentiality requirements
Self-motivated with strong problem-solving skills and the capacity to work independently
Reliable adaptable and committed to achieving high-quality outcomes for children and families
Working Conditions:
Youll work in a diverse fast-paced environment that demands clear respectful communication and a willingness to listen with curiosity.
Shared spaces and furniture require occasional physical effort including lifting items up to 50 lbs (chairs tables mats etc.).
The centre can be busy and noisy reflecting its role as a vibrant community hub.
As a public facility you may encounter individuals or families in crisis; youll follow established protocols and safety procedures when providing support or interventions.
Unionized Position
Fernwood Neighbourhood House is a unionized workplace and this position is part of the BC General Employees Union (BCGEU) bargaining unit. We are currently in the process of negotiating our first collective agreement. The compensation package for this role reflects current wages and benefits with adjustments anticipated once the collective agreement is finalized.
Please note that following the ratification of the collective agreement union dues will be deducted from employees pay in accordance with the terms outlined in the collective agreement and BCGEU policies.
