MalaceHR is seeking a Site Operations Coordinator to provide essential administrative and operational support to the site management team. This role focuses on ensuring smooth day-to-day operations coordinating vendor activities and supporting communication between stakeholders. Key Responsibilities

Schedule and coordinate vendor activities and site inspections.

Maintain accurate records of vendor interactions service requests and site activities.

Assist with the preparation of reports on site operations and vendor performance.

Respond to routine inquiries from staff vendors and clients in a professional manner.

Support the implementation of site procedures protocols and compliance initiatives.

Organize and maintain site documentation and operational manuals.
-
Assist in tracking and reporting key performance indicators (KPIs).
-
Coordinate site meetings and prepare relevant materials.
-
Support front desk operations including greeting and assisting visitors.
-
Liaise with the regional mailroom lead to ensure smooth site operations.

Actively participate in safety initiatives to maintain a safe working environment.
Technical Skills
Must Have

0 2 years of experience in an administrative or operational support role.

Ability to prioritize tasks and manage time effectively.

Ability to work onsite full time.

Basic understanding of customer service principles.

Excellent written and verbal communication skills.
-
Proficiency in Microsoft Office suite particularly Excel and Outlook.

Strong organizational skills and attention to detail.

Basic knowledge of building operations and maintenance.

Experience in a facilities management or property management environment.

Experience with data entry and database management.

Exposure to scheduling and coordination software.
