Job Summary

MalaceHR is seeking a Site Operations Coordinator to provide essential administrative and operational support to the site management team. This role focuses on ensuring smooth day-to-day operations coordinating vendor activities and supporting communication between stakeholders. The ideal candidate will be detail-oriented organized and comfortable working in a fast-paced environment.


Key Responsibilities

  • Schedule and coordinate vendor activities and site inspections.

  • Maintain accurate records of vendor interactions service requests and site activities.

  • Assist with the preparation of reports on site operations and vendor performance.

  • Respond to routine inquiries from staff vendors and clients in a professional manner.

  • Support the implementation of site procedures protocols and compliance initiatives.

  • Organize and maintain site documentation and operational manuals.

  • Assist in tracking and reporting key performance indicators (KPIs).

  • Coordinate site meetings and prepare relevant materials.

  • Support front desk operations including greeting and assisting visitors.

  • Liaise with the regional mailroom lead to ensure smooth site operations.

  • Actively participate in safety initiatives to maintain a safe working environment.


Technical Skills

Must Have

  • 0 2 years of experience in an administrative or operational support role.

  • Ability to prioritize tasks and manage time effectively.

  • Ability to work onsite full time.

  • Basic understanding of customer service principles.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office suite particularly Excel and Outlook.

  • Strong organizational skills and attention to detail.

Nice to Have

  • Basic knowledge of building operations and maintenance.

  • Experience in a facilities management or property management environment.

  • Experience with data entry and database management.

  • Exposure to scheduling and coordination software.

  • Familiarity with vendor management concepts.

  • Understanding of health and safety practices in a workplace setting.
