Job Description:
Primary Purpose
The Accounting Clerk Payables is responsible for the full cycle of accounts payable monitoring accounting and Clubs daily emails and handling cash deposits and floats for various departments within WUSA. This role ensures timely and accurate processing of financial transactions supports internal controls and serves as a liaison for supplier communications and student-facing service areas.
Key Accountabilities
Accounts Payable Management
- Responsible full cycle of accounts payable including monthly credit card statements
- Manage and execute payment runs including EFTs wires and cheques
- Secure proper authorization for supplier invoices by matching purchase orders and receiving reports.
- Process cheque requisitions and ensure appropriate approvals and account coding.
- Execute weekly supplier cheque runs and reconcile supplier statements.
- Liaise with suppliers (on and off campus) and educate staff and student volunteers on AP procedures.
- Provides support to overall AP depending on the volume of transactions to be processed and time of term or year
- Maintain accurate vendor records and proper filing of transaction documents.
Cash Management and Square Terminal Management
- Prepare timely cash deposits and floats for the General Office and other areas.
- Record cash receipts for ticketed events social memberships and other revenue.
- Coordinate Square terminal deployment and management to support student organization activities.
Customer Service
- Provide support to the students who come to the department for help
- Perform other related duties as assigned by the supervisor
- Work with WUSA staff to ensure that WUSA policies and procedures surrounding expenses and revenues are effectively communicated and followed
Required Qualifications
Education
- Post secondary education in a related field or equivalent education and/or experience
- Medium level accounting coursework required
Experience
- 2 years experience in accounts payable (AP) in a high volume environment
- Experience in a not-for-profit environment strongly preferred
Knowledge/Skills/Abilities
- Previous experience in any ERP environment
- Strong knowledge of Windows-based applications especially Excel Word and MS Teams.
- Excellent organizational skills with a high degree of accuracy and attention to detail.
- Strong communication skills for interaction with staff students and external vendors.
- Ability to manage multiple responsibilities and meet deadlines.
