DescriptionThe Milton and Carroll Petrie Department of Urology has long been a leader in clinical practice education and research. Faculty in our Department which is housed within the Icahn School of Medicine at Mount Sinai perform complex procedures using robotics laparoscopy and endoscopy all as a part of our minimally invasive urologic surgery program. The Surgical Scheduler Senior Specialist is a lead individual proficient in the surgical scheduling process overseeing a group of Surgical Schedulers responsible for servicing providers across the system in multiple locations at a high volume of visits. This individual takes the lead in troubleshooting scheduling and related issues and monitors workflow for efficiency of service delivery.
Responsibilities- Responsible for the coordination of all O.R. surgeries and procedures.
- Monitors front office workflow and make adjustment to ensure optimum delivery of service.
- Responsible for the verification of patient demographics and obtaining pre-certification from insurance carriers for all O.R. surgeries and procedures
- Responsible for obtaining patient medical clearance.
- Takes the initiative in the resolution of patient issues or answer questions regarding policies and procedures.
- Places surgical confirmation calls one day in advance of a scheduled surgery or procedure date
- Schedules post-op follow-up visits with providers.
- Functions as liaison between referring physicians and surgeons for the communication of clinical data and to determine O.R. scheduling etc.
- Trains and mentors other Surgical Scheduling Coordinator(s) or less senior staff within the unit.
- Collects and distributes appropriate paperwork to internal and external parties to coordinate the surgeries.
- Records of hospital reservation and pre-admit data in the CERNER system.
- Inputs surgical information in EPIC.
- Coordinates surgeries at multiple institutions each with individual and different requirements.
- Coordinates surgeries between multiple surgeons and departments for the purpose of co-surgical completion of cases: Neurosurgery General Surgery Pediatric Surgery; and many cases with the Oral and Maxillofacial team for facial reconstruction.
- Monitors hospital O.R. block time schedule to assure a surgeon is assigned the appropriate room.
- Coordinates COVID testing appointments for all surgical cases
- Informs O.R. staff about any special instruments needed for a case.
- Works closely with clinical and billing team to ensure proper coverage and all authorizations are in place before surgery
- Coordinates peer to peer communications between insurance carriers and surgeons
- Works closely with hospital billing for coordination of case authorization
- Performs other duties and responsibilities as assigned
Qualifications- Associates or Bachelors degree is preferred or a combination of related experience and education.
- 5 years of scheduling experience (preferably surgical scheduling) or closely related healthcare administrative experience.
