- Remuneration: $70k pro rata 12% super salary packaging
- Reports To: RTO Manager
- Hours: 30.4 hours per week with flexibility for additional hours as needed
- Travel: Occasional travel to regional locations may be required

Primary Purpose: The Training Administrator plays a key role in supporting the Training Department at Saltbush by coordinating essential administrative functions. This position ensures the smooth operation of training programs through accurate record-keeping efficient enrolment processes and effective communication with students and stakeholders. Additionally the role ensures compliance with regulatory requirements and provides high-level administrative support to facilitate the successful delivery of vocational education and training programs.
This role includes a small component of working closely with the SEE Program trainer and mentors to track participant attendance monitor participant progress and manage enrolments for the SEE addition may help with internal Saltbush enrolments into the Workforce Mentoring course on an adhoc basis. By supporting the day-to-day flow of these programs the role helps ensure smooth operations allowing trainers and mentors to focus on their core work while participants feel well-supported.
This role also acts as the central administration point of contact for the Training team contributing to a culturally respectful and responsive environment aligned with Saltbushs commitment to meaningful community-led outcomes.
Key Responsibilities:
General Administration
- Provide comprehensive administrative support to the Training Department including handling correspondence and maintaining critical documents.
- Maintain accurate and up-to-date records ensuring data integrity in all systems.
- Organise and prioritise tasks to meet deadlines efficiently.
- Handle sensitive and confidential information with professionalism and discretion.
- Respond to general phone and email enquiries related to the Training Department escalating or redirecting as appropriate.
Student and Training Administration
- Maintain accurate records of enrolments completions and student progress.
- Ensure the accuracy of the Student Progress spreadsheet to support completions and funding.
- Manage and update Catapult (online learning system) records.
- Prepare and submit quarterly AVETMISS reporting.
- Respond to prospective student queries providing clear and timely information regarding enrolment processes and program details.
- Provide students and employers with progress reports as required.
- Maintain and organise student records ensuring documents are correctly filed archived and easily accessible.
- Accurately maintain participant attendance registers and send updates to Workforce Australia providers in a timely manner.
- Assist with enrolments and ensure participants have access to required materials or equipment.
Compliance and Quality Assurance
- Ensure adherence to all relevant regulatory and compliance requirements related to vocational education and training.
- Support the RTO Manager in maintaining accurate documentation and reporting requirements for training programs.
Stakeholder Engagement
- Liaise with internal teams students employers and external training partners to facilitate smooth training operations.
- Provide high-quality customer service by responding promptly to enquiries from students and other stakeholders.
Essential Criteria:
Demonstrated experience in the following areas is highly favourable for this position:
- Administrative Experience: Demonstrated experience providing administrative support in a professional setting preferably within an educational or training environment.
- Record-Keeping and Data Management: Proficiency in maintaining accurate records and managing student data including enrolment records training schedules and compliance documentation. Experience with student management systems or similar databases is highly desirable.
- Communication and Customer Service Skills: Strong written and verbal communication skills with the ability to effectively engage with internal and external stakeholders. A customer-focused approach to providing support to students and staff.
- Organisation and Time Management: Proven ability to manage multiple tasks prioritise workload and meet deadlines in a fast-paced environment.
- Team Collaboration: Ability to work collaboratively as part of a team supporting colleagues and contributing to the success of the Training Department.
- Computer Literacy: Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and email platforms. Familiarity with student management systems or learning management systems is an advantage.
Employment is Subject to:
- National Police Clearance (no more than three months old)
- NT Working with Children (OCHRE) Card
- Current Drivers Licence
Highly Desirable:
- Experience using VETtrak RTO Data Cloud or Catapult Learning Management System.
- Knowledge and understanding of the Vocational Education and Training (VET) Sector including regulatory requirements compliance obligations AVETMISS reporting processes and quality standards associated with training delivery.
- Previous experience in a Registered Training Organisation (RTO) environment.
- Knowledge of SharePoint for document management.
