Job Description

What you will do:

The Transportation Scheduler is the primary point of contact with internal customers to receive requests for vehicle repairs preventative maintenance and emergent road service calls.


You will initiate review and close work orders for vehicle repair preventative maintenance and emergent road service calls. You will also be responsible for scheduling work activities using a computerized Fleet Management System scheduling tool as dictated by equipment manpower and Business Unit needs.

Minimum Requirements

  • High School Diploma/GED plus two (2) years of experience in automotive maintenance/repair customer service and/or administrative positions.

Peferred Special Skills Knowledge or Qualifications:

  • Knowledge of computer applications including Microsoft word and excel.
  • Prior experience using computerized maintenance management scheduling system tool experience.

Major Accountabilities

  1. Utilizes Fleet Focus work management system to create/write service order requests.
  2. Opens work orders and include notes with each customer complaint.
  3. Evaluates impact to customer and company and provides estimated cost and timeframe.
  4. Assigns work orders to Tech Portal by priority per shift per day for work completion.
  5. Manages open work orders to schedule work; work schedule determined by availability of manpower open bays and part availability.
  6. Reviews work orders in finished status (notes labor time parts charges etc.).
  7. Closes finished work orders after review.
  8. Communicates with internal customer on work updates regarding fleet vehicles in process of repair.
  9. Advises on status coordinates pick up and return and follows up on any unusual circumstances
  10. Coordinates and schedules preventative maintenance (i.e. Department Of Transportation) and aerial inspections (mechanical test) for garage.
  11. Schedules with customers and follows up through completion in accordance with state regulatory requirements.
  12. Schedules Mobile Service Mechanic as required to complete all preventative maintenance services (PM) aerial inspections and repairs as needed.
  13. Coordinates the disposition of salvage and surplus vehicles.
  14. Coordinate all new vehicles to be put into service (New Vehicle Get Ready).
  15. Coordinates all internal work to be performed by the garage.
  16. Determines and coordinates any work that needs to be outsourced to alternative APS garages or a third-party garage as needed to ensure prompt customer service.
  17. Authorizes payment for services performed by vendors.
  18. Coordinates and schedules all warranty work with the customer and garage personnel.
  19. Coordinates with leaders and customers on pending factory vehicle recalls.
  20. Coordinates claims estimates for vehicles involved in accidents by reviewing accident claims providing estimates for repairs authorizing repair work and authorizing payment.
  21. Generates statistical reports as needed.
  22. Works directly with Team Leader.
