We are seeking an experienced highly organized Executive Assistant to primarily support a busy partner in our California office with occasional support for other attorneys who are based out of our California office. This role is dynamic and fast-paced requiring exceptional organizational skills strong judgment and the ability to manage both professional and personal matters with discretion. Youll coordinate closely with our marketing team and serve as a trusted partner in managing calendars client interactions office dynamics and events.
Key Responsibilities
Ensure the attorneys schedule runs seamlessly including coordinating travel meetings and events
Confirm all appointments and proactively communicate via email phone or text to keep schedules on track
Greet clients and prospective clients in the office and arrange Zoom/Teams meetings as needed
Make restaurant reservations and handle other business/social event planning
Draft and send personal thank-you notes while keeping track of important dates and milestones
Manage projects and tasks with efficiency ensuring deadlines are consistently met
Collaborate with the marketing team on social media initiatives and networking opportunities
Use of AI in adding to efficiencies of the position allowing you to produce more and accurate work flow in less time.
Qualifications
Minimum 5 years experience as an Executive Assistant ideally supporting a partner at a law firm C-suite executive or senior leadership
Exceptional organizational skills with the ability to manage multiple priorities independently
Strong interpersonal skills with a professional approachable demeanor
Proven discretion and ability to handle confidential information
Tech-savvy with a willingness to learn and use new tools (including AI platforms)
Highly dependable and a true team player
