Job Description

  • Provide high-level administrative support to the Office of the CEO the Finance Leadership Team and the Arbeta Offices.
  • Collaborate closely with ExCo EAs to ensure comprehensive support for all senior executives.
  • Manage travel bookings itineraries and accommodation arrangements.
  • Assist/facilitate large meetings for the Office of the CEO
  • Prepare and process expense reports promptly and accurately.
  • Act as a key liaison communicating professionally on behalf of directors internally and externally.
  • Be the first point of contact for all key visitors to the Arbeta Offices.
  • Organise and facilitate meetings both internally and externally when required by your key stakeholders.
  • Provide dedicated administration support to the Group Health and Safety Lead in relation to all H&S Communications Safety Standards Policy updates and Stop alerts as well as the translations of said documents.
  • Be the first point of contact for any facility related issues at the Arbeta Offices liaising with Middleton HSE and Middleton HR where appropriate.
  • Oversee day-to-day facilities management ensuring a smooth and organised office environment.
  • Ensuring that the required First Aid and Fire Marshalls are in place (and fully trained) at the Arbeta Offices.
  • Manage the Arbeta Car Parking raffle twice a year.
  • Ensure that the Arbeta Offices are fully stocked with supplies for our Colleagues.
  • Raise and manage any Purchase Orders for all Directors in relation to all matters.
  • Process Directors Expenses reconcile credit card statements and manage reimbursements.
  • Manage and maintain the Arbeta SharePoint folder.
