Going strong since 1974 CASE Collaborative is an educational collaborative agency made up of 11 regional and municipal districts affording member and non-member school districts the opportunity to augment local services by planning developing and implementing programs for students with special JOB!HEALTH INSURANCE ON DAY ONE!CASE Collaborative is looking for a Human Resource Office Assistant to work under the direction of the Human Resources Administrator to perform daily human resource functions related to recruitment orientation benefits administration policy and procedure administration. The Human Resources Office Assistant plays an integral role in fostering a welcoming equitable and inclusive working environment for all employees. Terms of Employment:
  • Twelve month full-time position.
  • This is not a remote position.
  • Salary based on the recommendation of the Director of Finance Operation and the Executive Director.
Qualifications:
  • Must be detail oriented organized and have excellent time management skills.
  • Strong organizational skills.
  • Highly motivated self-starter who can work independently and without extensive supervision.
  • Ability to maintain strict confidence regarding all matters.
  • Ability in using data reports and consolidating information to develop reports and responses to requests for information.
  • Effectively work with colleagues throughout the collaborative and with other business contacts in an effective efficient open friendly and cooperative manner.
  • Demonstrated experience in assuming initiative and assignments in follow through in accepting responsibility for completion of assignments and in expending effort and time in doing the job well.
  • Ability to write and speak informatively to listen and seek clarification.
  • Knowledge of Google Suites (Drive Docs Sheets Slides Forms) and Microsoft Office (Word Excel PowerPoint).
  • Such alternatives to the above qualifications as the Executive Director and the Director of Finance and Operations may be appropriate and acceptable.
Performance Responsibilities:
  1. Maintain Accurate Personnel Files (Filing Checking Organizing Auditing);
  2. Maintain Accurate Medical Files - Insurances and Deductions (Filing Checking Organizing Auditing);
  3. Answer the phone and provide customer service to incoming calls;
  4. Assist HR Administrator Executive Director and Director of Finance in filing duties as needed;
  5. Perform any employee verification checks (Mortgage Car Loans etc.);
  6. UTMC Management of Unemployment Claims - file and provide salary data;
  7. Assist the HR Administrator and Executive Director with any office support needs;
  8. Schedule conference rooms order refreshments and coordinate technology as needed for meetings;
  9. Assist the HR Administrator in preparation of employment letters for all staff - Hire Termination change of assignment renewals;
  10. Maintain Website Completeness; makes alterations as requested by administration checks ADA compliance; Review Webpages for errors; makes adjustments as needed through Finalsite;
  11. Monitor/Assist/Complete Workshop Course Reimbursement for all staff; submit to A/P for Payment;
  12. Assist the HR Administrator with onboarding of all new employees (Meet & Greet Review of Packet Follow up on completion);
  13. Assist the HR Administrator in offboarding employees insurances payroll and technology;
  14. New Hire Reporting to the Department of Revenue Mass Tax Connect;
  15. Ensure staff members are up to date with mandatory training - give 30 day notice to staff approaching expiration (state ethics training CORI fingerprints etc);
  16. Assist the HR Administrator to post meeting agendas/minutes in compliance with OML on Collaborative Website;
  17. Assist in the preparation of packets for Board Meetings including photocopying and collating
  18. Maintain employment information and applicants / resumes on SchoolSpring and Indeed; or other hiring management websites we may choose to use;
  19. Distribute mail on a daily basis;
  20. Maintain & Check Absence/Subbing Calendar - Program and Transportation;
  21. Tracking salary attendance/timeslips;
  22. Tracking hourly attendance;
  23. Reconciling driver sick days;
  24. Post absences to employee access;
  25. Completion of retirement forms as requested;
  26. Update PowerSchool for EPIMS reporting;
  27. Manage ACA entry for all new employees; change existing employees as needed;
  28. Other duties as assigned to assist the central services team in effective and efficient administration.
Physical Requirements:
  • The position requires a moderate amount of walking standing and sitting.
  • Activities include minimal exertion in body movement such as reaching bending twisting grasping pushing and pulling of objects.
  • The position requires lifting of 20 lbs. on an occasional basis.
  • There is a requirement of fine manipulation associated with the use of a keyboard.
Environmental Conditions:The employee works indoors in a normal office space environment.
