Analyst / Senior Analyst - Vendor Management

Job Description Summary

The Vendor Management Analyst is responsible for overseeing the vendor management process including coordination of collection of and verifying contact detail changes payment updates and ownership changes. This involves interacting with vendors to obtain necessary documents and enrolling them in the clients system. The role ensures that the vendor records are up-to-date and process payment holds to enable timely processing.

About the Role:

  • Review and validate all Landlord change requests for notice addresses points-of-contact payment addresses and ownership changes.
  • Ensure accuracy of Landlord/vendor details entered into the system. Ensure compliance with internal vendor management policies and procedures.
  • Work directly with Landlords to obtain necessary documentation and proactively enroll them in the EFT process and/or update their details on the system.
  • Cost Control: Ensure that invoices are appropriately validated reviewed and processed in accordance with lease agreements and internal protocols. Facilitate collection of proper back-up documentation to support charges.
  • Operating Expense Reconciliation: Perform full lease audit functions processing all reconciliations submitted to audit escrows previously paid. Conduct audits of Year-End Common Area Maintenance (CAM) Insurance and Real Estate Tax reconciliations interpret and analyze all charges for accuracy in accordance with lease documents.

About You:

  • Bachelors degree required
  • Minimum of 3-5 years of work experience -- procurement supply chain vendor relationship management. Relevant experience in invoice processing expense reconciliations and real estate will be additional advantage.
  • Proficient in using lease administration and EFT/ERP /financial software. Highly proficient in MS Office tools with good presentation skills.
  • A motivated team player who can support a multi-regional and diverse team. Must be able to engage others effectively in a matrix organization environment up down laterally and through.
  • Ability to solve advanced problems and deal with a variety of options in complex situations.
