Job Duties:

The Official Functions Event Manager plays a pivotal role in shaping some of the Universitys most meaningful and memorable experiences. Based in the Chancellors Office this position leads the planning coordination and execution of Official University Eventshigh-profile occasions that celebrate our students honor our alumni engage our employees and strengthen connections with the broader community. The manager ensures these events are flawlessly executed inclusive and aligned with the Universitys mission and values.


This highly visible role blends strategic planning with hands-on execution requiring exceptional organizational skills creativity and a passion for building connections. The coordinator will work closely with University leadership faculty staff and community partners to deliver events that inspire pride foster engagement and elevate the Universitys reputation. From milestone celebrations (Commencement) to collaborative community programs (Estamos Aqui) this position offers the opportunity to make a tangible impact on the Universitys culture relationships and public presence.

Key Job Responsibilities:

  • Establishes and sustains relationships with internal and external stakeholders
  • Monitors the budget and approves expenditures
  • Establishes and executes day-to-day operational functions and goals of events to align with existing strategy
  • Identifies proposes and implements new or revised unit operational policies and procedures
  • May exercise supervisory authority including hiring transferring suspending promoting managing conduct and performance discharging assigning rewarding disciplining and/or approving hours worked of at least 2.0 FTE or equivalent employees
  • Leads all aspects of event development including timelines budgets vendor coordination and staffing

Compensation:

Minimum compensation of $60000.

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

Required Qualifications:

  • Proven experience planning coordinating and executing large-scale events from concept to completion
  • Strong organizational and time-management skills with the ability to balance multiple priorities and deadlines
  • Excellent communication and relationship-building skills with both internal and external stakeholders
  • Demonstrated ability to manage budgets contracts and vendor relationships effectively
  • Commitment to creating inclusive accessible and welcoming experiences for all participants

Preferred Qualifications:

  • Bachelors degree
  • Experience working in complex organizational settings
  • Background in building community partnerships and co-developing events with external organizations
  • Experience managing high-profile events involving senior leadership or VIP guests

Conditions of Appointment:

The role involves coordinating events in a variety of environments both on and off campus and will require occasionally working evenings weekends and irregular hours to meet event schedules.

This position may have the option to work on-campus or a hybrid schedule subject to approved telecommuting request.

The home campus of this position is Green Bay and the successful candidate may occasionally be required to travel between campuses or event sites.

Position is a full-time Academic Staff appointment. A pre-employment education check which includes but is not limited to the verification of academic credentials will be conducted on the finalist(s). A criminal conviction investigation will be conducted on the finalist(s) and if there is prior work history within the last 7 years with Universities of Wisconsin a personnel file review check for employee compliance with the Wisconsin Fair Employment Act the University does not discriminate on the basis of arrest or conviction record.

The Universities of Wisconsin provides an excellent benefits package to meet the diverse needs of its employees. For benefits eligible positions this includes several health insurance options with annual deductibles as low as $250/individual and $500/family. We participate in the Wisconsin Retirement System (WRS) where employer contributions begin immediately and employees are fully vested after 5 years of service. The Universities of Wisconsin also provides supplemental retirement savings programs including a 403(b) and Deferred Compensation.

In addition eligible employees receive several types of paid leave benefits which are prorated for employees working less than 100%. This includes 9 legal holidays 36 hours of personal holiday and between 96-130 hours of sick leave annually and paid parental leave. Eligible employees earn 13-27 days of vacation each year depending on years of service and employment type.

Employee Misconduct
