Job Summary

Job Summary:The Payroll Coordinator is responsible for overseeing and managing school payroll operations ensuring timely and accurate processing of payroll coordination of benefit deductions compliance with all applicable laws and regulations and ensuring payroll and financial standards are met. The Payroll Coordinator is privy to a substantial amount of confidential and sensitive information and must maintain confidentiality at all times. This role requires strong attention to detail organization and knowledge of payroll regulations. ResponsibilitiesPayroll Processing & AdministrationManage the preparation processing and distribution of payroll for all school department employees as well as substitutes team leaders coaches and extracurricular accurate and timely processing of payroll in compliance with federal state and local accurate payroll records including deductions benefits and tax payroll compliance with all collective bargaining agreements and individual and apply wage garnishments prorated salary calculations retro-active pay calculations leave of absence salary calculations and answer unemployment information accurate and up to date seniority lists with name school start date rate of pay longevity amount and vacation & AuditingImplement quality control payroll practices comply with applicable labor laws tax regulations and school district reporting for savings and retirement programs (i.e. 403b and MTRS) and resolve Management & Data IntegrityMaintain payroll systems and ensure data integrity by updating employee records salary adjustments and benefit with the Town for coordination of both payroll and Support & CommunicationSubject matter expert and escalation point to resolve issues and continuously look for improvements in operational processes and implement payroll-related inquiries from employees and administrators ensuring clear and accurate guidance on payroll policies deductions benefits accruals and retirement and implement payroll procedures to enhance efficiency and annual pay schedules and distribute to of employment verifications MTRS buy-back and retirement Skills/AbilitiesMaintain highest level of confidentialityExcellent verbal and written communicationExcellent interpersonal and customer service skillsExcellent organizational skills and attention to detailAbility to adapt plan and organize various competing prioritiesComputer software proficiency such as MS Office Suite Google Suite Harpers Payroll Aspen and absence management systemKnowledge about and monitor compliance with federal labor laws including FMLAUnderstanding of collective bargaining agreements and union payroll processingAbility to work both independently and as part of a team in a fast paced environment with the ability to prioritize and problem and ExperienceBachelors degree or equivalent experience3-5 years of payroll experience preferable in school district/public sectorStrong knowledge of payroll regulations labor laws tax complianceExperience with payroll software experience with Harpers highly desirableFamiliarity with public school funding and budget constraintsWork EnvironmentProlonged period of sitting at a desk and working on a computerFast paced environment requiring prioritization of work/projects and frequent pivotingFrequent collaboration with stakeholdersThe nature of this position may require hours beyond the regular school day. It is expected that the person filling this position will give priority to completing the necessary tasks and set hours be able to lift up to 10 poundsTerms of EmploymentFull time (40 hours/week) twelve (12) month positionSalary and fringe benefits are to be established by the Superintendent in accordance with the policies established by the School CommitteeEmployment subject to successful completion of background checks pursuant to federal and/or state laws
