We are seeking a detail-oriented and proactive Accounting & Member Operations Associate to join our Accounting and Member Operations team to work PST hours. This role will work cross functionally with the Accounting team as well as the Member Operations team with a focus on assisting with customer payment application account reconciliation data accuracy within our internal tools and handling finance-related as well as general inquiries from both members and internal teams. This position reports directly to the Central Support Desk Success Manager and plays a key role in ensuring accurate financial record-keeping and prompt customer service.
Responsibilities
Payment Application: Accurately and promptly apply incoming customer payments including checks credit cards and electronic transfers to their corresponding invoices in NetSuite.
Customer Communication: Respond to customer inquiries regarding payments invoice discrepancies cancellations account balances and general document requests via email and coordinate with internal stakeholders as needed.
Mail and Correspondence Management: Review and distribute all incoming mail with a particular focus on organizing customer checks and financial documents. Review and action the telephone answering service messages.
Maintain Financial Records: Maintain and update financial records and member data within our CRM (Salesforce and HubSpot).
Reconciliation: Assist with daily and monthly reconciliation of customer accounts to ensure all payments are correctly posted and accounts are balanced.
General Member Inquiry: Assist the Central Support Team with general member inquiries via our ticketing system Intercom.
Administrative Support: Provide general administrative and financial support to the Sales and Project Management teams.
Qualifications :
13 years of accounting bookkeeping or finance-related administrative experience
Familiarity with CRM systems such as Salesforce and HubSpot preferred
Experience working with accounting or financial tools (e.g. QuickBooks NetSuite or similar)
Proficiency in Microsoft Excel and Google Sheets for data tracking and reporting
Excellent attention to detail and organizational skills
Strong written and verbal communication skills
A team player with a service-oriented mindset and the ability to multitask in a fast-paced environment
