Position Duties/Responsibilities

Position Overview:

The Manager is responsible for planning management hiring and talent development sales purchasing inventory processes and the daily operations of the Team Store and Post Office. This role requires flexibility to staff and work additional hours during university-sponsored events (e.g. Grad Fest Preview Days Recruiting Events home football basketball and softball games) beyond the standard work week schedule:

MondayThursday 7:30 a.m.5:00 p.m.

Friday 7:30 a.m.11:30 a.m.


Key Responsibilities:


Administrative:

  • Lead daily operations of the Team Store and Post Office ensuring timely and effective service.
  • Oversee vending machines (inventory product selection and financial reconciliation).
  • Maintain social media and website content.
  • Prepare and approve annual performance evaluations for staff.


Budgeting and Financial Oversight:

  • Provide fiscal leadership by monitoring and managing all financial activity for the Team Store and Post Office.
  • Approve purchase orders in the Banner 9 system to ensure compliance with institutional and state purchasing regulations.
  • Complete monthly P-Card reconciliations with supporting documentation in a timely and accurate manner.
  • Prepare detailed monthly and annual Excel spreadsheets for sales returns and inventory adjustments.
  • Analyze financial data to identify trends measure performance and recommend improvements to increase revenue and control expenses.
  • Ensure proper cash-handling deposit and reconciliation procedures are followed at all times.
  • Assist in forecasting developing and maintaining annual operating budgets including recommendations for revenue growth and cost-saving opportunities.
  • Participate in monthly meetings with executive leadership members regarding the financial health and operations of the Team Store.
  • Collaborate with Business Affairs and other university offices to provide accurate reports and respond promptly to requests from Accounting auditors and other oversight bodies.


Personnel and Departmental Supervision:

  • Recruit interview and select qualified candidates to fill open positions within the Team Store and Post Office.
  • Provide onboarding training and professional development opportunities to ensure staff success.
  • Cross-train employees across operational areas to maximize flexibility and service coverage.
  • Develop and maintain staff schedules to ensure adequate coverage during regular hours and university-sponsored events.
  • Foster a positive customer-focused work culture that emphasizes accountability collaboration and continuous improvement.
  • Provide ongoing coaching mentorship and performance feedback completing annual performance evaluations in a timely manner.


Policy and Compliance Management:

  • Ensure adherence to all NCAA State of Louisiana and McNeese State University regulations and policies.
  • Maintain compliance with financial human resources and purchasing guidelines including internal controls and audit requirements.
  • Regularly review and update operational procedures to ensure alignment with evolving institutional and regulatory requirements.
  • Promote awareness of compliance standards by training staff and holding them accountable for policy adherence.
  • Mitigate risks by implementing safeguards in financial transactions merchandise handling and customer service.


Reporting and Planning:

  • Actively participate in annual budget preparation including financial forecasting revenue projections and cost management strategies.
  • Respond promptly and accurately to requests for information from Accounting auditors and other oversight entities.
  • Develop and present regular reports on sales inventory staffing and event performance for executive leadership.
  • Ensure all required staff training is completed on time and documented.
  • Contribute to strategic planning for the growth and long-term success of the Team Store and Post Office including opportunities for expanded merchandising customer engagement and revenue generation.
  • Utilize data-driven insights to recommend process improvements operational efficiencies and enhanced customer experiences.

Required/Preferred Qualifications

Required:

  • Bachelors degree
  • In lieu of a bachelors degree a minimum of 15 years of successful personnel leadership will be considered
  • Strong background in planning merchandising ordering and inventory experience
  • Excellent facilitation and presentation experience
  • Excellent written and verbal communication skills
  • Demonstrated prior professional social media and/or website knowledge and understanding
  • Demonstrated ability and knowledge of progressive talent management and talent development experience
  • Strong organizational and analytical skills
  • Demonstrated collaboration problem solving and teamwork skills
  • Demonstrated leadership skills


Preferred:

  • Masters degree preferred
  • 10 years of higher education and budget compliance experience
