About You
We are looking for a part-time receptionist to join our team! The right candidate will be customer-service oriented have a positive attitude excellent communication skills and time-management skills.
Primary Responsibilities
The day-to-day duties of this role include:
- Answer phones take messages or direct callers to the proper department
- Communicate with callers in a professional friendly and efficient manner
- Greet customers and handle their inquiries or direct them to the appropriate persons according to their needs
- Handle customer complaints diplomatically exercising emotional intelligence and refer displeased customers to the appropriate individual for resolution
- Confirm appointments for customers
- Receive cash checks and credit card payments from customers and record the amount received on the repair order and/or counter ticket
- Make change accurately and issue receipts to customers
- Assist sales managers finance managers and sales staff with various clerical duties as needed
- Review work done by others to ensure accuracy
- Check for spelling and grammar
- Recommend revisions
- Create maintain and enter information into databases
- Set up and manage paper or electronic filing systems recording information updating paperwork and maintaining documents
- Open read route and distribute incoming mail and other materials
- Learn to operate new office technologies as they are developed and implemented
- Train and assist staff with computer usage
- Report maintenance or equipment problems to appropriate personnel
- Order materials supplies or equipment and distribute to employees or customers
Receptionist Qualifications
- Energetic positive self-starter with excellent customer service skills and a can-do mentality
- High-level of emotional intelligence and empathy when routing customer complaints
- Ability to follow instructions while collaborating with other team members effectively
- Ability to multi-task successfully in a high-volume fast-paced environment
- Successfully navigates issues while managing a certain amount of ambiguity
