Job Summary
Reporting directly to the Senior Manager of the Business Services Unit the Portfolio Manager for Enterprise Forms is responsible for meeting facilitation content analysis form and policy creation revision & maintenance and tracking of key development milestones for projects across the Mass General Brigham enterprise.
This position will provide Health Information Management expertise to procedural owners Subject Matter Experts (SMEs) and end users throughout the development review and maintenance of all forms according to established organizational policies regulatory requirements and legal guidelines. A particular emphasis of this position is to manage the relationship with our Forms vendors and Digital team ensuring that front-line staff can access proper forms.
Upon initiation of a project the primary responsibility of this position is to support the Senior Manager and members of the Mass General Brigham leadership team in the asset development life cycle. This position requires strong writing communication and organizational skills as well as excellent interpersonal and facilitation skills.
Responsible for the development and standardization of forms across Mass General Brigham providing expertise in the creation of new and maintenance of existing forms. Serve as an enterprise Subject Matter Expert in the development and implementation of forms. Ensure standardized procedures or instructions for using forms are documented to ensure consistency in the related workflow.
Work closely with the Mass General Brighams form vendors Software Application Administrator in the development and creation of workflow processes for Mass General Brigham clinical forms including system workflow for scheduled form reviews and changes.
Serve as the Enterprise HIM control point working collaboratively with form owners SMEs and the Digital Team to ensure established processes are followed for system workflow and compliance changes and form updates. Establish and adhere to service-level agreements for all assigned work.
Manage the inventory of Mass General Brigham clinical forms. Find opportunities to improve eliminate and consolidate the current form inventory across the enterprise toward enhancing workflow processes.
Provide education on form standards and requirements ensuring the continuity of established form standards and change processes.
Document and maintain standard operating procedures (SOPs) to support the standardized use and training needs for form administration.
Secondary Duties:
Act as facilitator to the Mass General Brigham Health Information Management Executive Committees. General administrative duties include scheduling attendees and reviewing materials before meetings preparing meeting agendas & minute-taking coordinating internal and external presenters assisting with presentation preparation etc.
Maintain version control of policies and procedures including coordinating the production of documentation. Manage the updating of policies in the Policy Management System (Ellucid) including tracking the review and updating of policies and procedures; supporting the owners of the documents with their review; ensuring the documentation is sent to the approving committee in good time; and working with relevant staff to ensure prompt publication of approved documents.
Work as a team with departmental counterparts on planning and implementing assigned projects and products. Participate on various committees and project teams as needed.

- Bachelors degree in health information management Healthcare Communication or a related field. Experience accepted in lieu of a degree
- Minimum of 5 years related experience including experience with clinical content development project management and process improvement preferably in a healthcare setting.
- Experience in Health Information Management Communication or in the administrative area of healthcare is strongly preferred.
