Position Summary

The Centralized Maintenance Supervisor (Residential Programs) leads HeartShare St. Vincents (HSVS) efforts in supervising and managing our team of field-based Maintenance Workers. This role is pivotal in overseeing all aspects of the management and effective scheduling of our Maintenance Worker teams. A priority of this position is the assignment and execution of approved daily work orders to appropriate teams ensuring that facilities remain safe compliant and welcoming for residents program participants and staff.

This role requires strong leadership regulatory expertise and proficiency in utilizing an automated facilities management system (TheWorxHub) to manage work requests preventative maintenance assets and other facility-related matters. The Centralized Maintenance Supervisor must be available on-call to address facility-related emergencies including after-hours and on weekends and must have reliable transportation.

Job Responsibilities

Primary Responsibilities and Essential Functions of Position:

Facilities Management and Compliance:

  • Prioritize organize schedule and assign daily work order assignments to the appropriate maintenance teams.
  • Liaise onsite with subcontracting vendors and monitor completion of work performed.
  • Conduct prescribed monthly facility inspections ensuring the facilities are safe and hazard free and in compliance with regulatory requirements.

Safety and Emergency Response:

  • Provides first line 24-hour response to emergency repairs at all physical plant locations as needed coordinating facility-related emergencies working closely with relevant teams and authorities.
  • Maintain cell phone contact on evenings and weekends as needed for emergency response.
  • Ensure physical plant safety protocols to safeguard the well-being of residents program participants staff and visitors.
  • Follows all Blood-borne Pathogen Control standards (gloves masks proper hand washing etc.) at all times; without exception.
  • Ensure staff have and are utilizing proper Personal Protective Equipment (PPE).
  • Participate in all Professional Development Trainings.
  • Obtain OSHA approved PPE training with 3 months & OSHA 10 hour within 6 months of hire.
  • Attend any required Driver Training or other Safety training as required.

Maintenance Team Leadership and Supervision:

  • Lead mentor and manage the Maintenance Workers fostering a collaborative and efficient team environment.
  • Assign tasks set performance goals and conduct regular performance evaluations for existing maintenance team members.
  • Conduct interviews with applicants for new maintenance job positions
  • Train and evaluate new maintenance employees during the probationary performance evaluation time period.
  • Submit for approval employee overtime requests.
  • Speak with a staff member(s) concerning any complaints against them their performance absences lateness etc.
  • Initiate Progressive Discipline procedures based on incident review.
  • Conduct regular individual supervisory sessions with maintenance workers.

Preventative Maintenance:

  • In conjunction with the Assistant Director of Properties execute a proactive preventative maintenance plan to address needs in a timely and effective manner.
  • Perform regular inspections servicing and upkeep of equipment systems and structures to prevent potential issues.

Repairs and Maintenance:

  • Maintain and repair residence interiors ensuring hazard prevention and compliance with applicable regulations and codes including but not limited to: handyman duties tile installation and repair floorcare toilet repair drain repair and snaking plumbing repairs electrical repairs and improvements carpentry and painting moving and assembling furniture garbage removal HVAC repair lock repair plaster repair sheetrock install and repair cabinet repair and replacement and other duties as assigned.
  • Maintains and repairs residence exteriors and grounds ensuring hazard prevention and well-kept appearance as required including but not limited to: landscaping snow removal painting gutter cleaning carpentry basic masonry carpentry siding repair and other duties as assigned.

HSVS Vehicle Management/Care:

  • Provide care and upkeep to assigned vehicles; ensuring that they are free of hazardous conditions; maintaining them in a secure and protected location and in good condition at all times.
  • Maintain Vehicle Logs.
  • Identify responsible drivers and provide follow up for any/all toll parking red light camera speeding and other vehicle infractions as needed.
  • Schedule and coordinate vehicle maintenance/service needs in accordance with manufacturer/lease recommendation.
  • Ensure a copy of vehicle registration insurance and inspection documents are always in the vehicle.
  • Ensure that parking tickets received on agency vehicles are submitted to supervisor for prompt payment.
  • Follow all applicable state and city motor vehicle laws as well as any agency-issued policies and procedures related to driving agency vehicles and drive in a safe manner at all times.

HSVS Tool care:

  • Provide care and upkeep of assigned tools.
  • Maintain equipment and tool inventory.
  • Ensure daily proper safe storage of tools and equipment.

Automated Facilities Management:

  • Utilize an automated facilities management system (TheWorxHub) to manage work requests track maintenance tasks and log preventative maintenance needs through scheduled work orders.
  • Ensure that if no approved work order is issued that work does not commence with the exception of emergency situations.
  • Record work order progress in TheWorxHub system on assigned work order requests maintenance and completions as required by submitting detailed descriptions and photos; including routine maintenance schedules and project progress reports.
  • Track and manage the agencys facility-related assets.

Petty Cash use:

  • Handle funds provided and return receipts for monies given to for supplies and items needed for the Centralized Maintenance Department in a timely manner for prompt reconciliation and replenishment. Provide detailed accountability of all petty cash received; must retain and submit all dated itemized receipts for monies spent.

Collaboration and Communication:

  • Maintain clear communication with staff residents and external stakeholders regarding facility matters.

Qualifications

Qualifications

  • High school diploma or GED required. Associates degree preferred
  • Minimum of 3 -5 years of maintenance supervision.
  • NYS driver license required.
  • Thorough knowledge of general maintenance repairs such as basic plumbing carpentry and electrical. building codes knowledge of regulatory and safety standards for NYS OCFS.
  • Demonstrated leadership skills with a track record of successfully managing teams and fostering a positive work culture
  • Proficiency in utilizing automated facilities management systems such as TheWorxHub for work order tracking preventive maintenance & asset management.
  • Excellent communication and interpersonal skills with the ability to collaborate effectively with diverse stakeholders.
  • Cost-effective solutions with high-quality outcomes.
  • Strong organizational and problem-solving abilities with meticulous attention to detail
  • Compassionate patient and empathetic approach when interacting with Program participants.
  • Current FLSD (FDNY F-89) preferred OR must obtain and pass onsite test within 12 months of taking position
