Position Summary
Bow Valley College is seeking a highly organized detail-oriented and professional Directors Assistant & External Liaison to provide exceptional administrative support to the Director of Fund Development and Alumni Engagement as well as broader support across the External Relations division. This role is instrumental in ensuring seamless office operations effective coordination with internal and external stakeholders and efficient execution of strategic initiatives across multiple teams.
The successful candidate will manage administrative and office functions for the Fund Development and Alumni Engagement team including calendar management meeting coordination preparation of presentation and briefing materials travel logistics and expense reporting. This position also includes support for event planning donor stewardship database management gift processing and internal communication flows. Acting as a key liaison the role will coordinate activities between departments assist in onboarding new staff maintain business continuity plans and manage procurement card processes in accordance with college policies.
Additionally this role provides cross-functional support to other units within External Relations including Sales and Workforce Solutions Government and Community Relations and Global Partnerships. Tasks may include arranging campus tours and travel assisting with data entry and contract management systems maintaining inventories and responding to inquiries in shared inboxes.
Minimum qualifications include a post-secondary diploma and at least three years of relevant experience in senior-level administrative roles. Experience in fundraising environments donor stewardship and CRM database usage (such as Raisers Edge) is essential. The candidate must demonstrate strong attention to detail discretion confidentiality and proficiency in spreadsheets databases and word processing software.
Preferred qualifications include experience in office management event planning budgeting and working with diverse clientele. The ideal candidate will bring strong interpersonal analytical and problem-solving skills along with the ability to take initiative and navigate ambiguity effectively.
