Description:
The Talent Acquisition (TA) Operations Coordinator is a critical member of the TA team responsible for executing the daily operational and administrative tasks that support end-to-end hiring. This role reports to the TA Operations Lead and works closely with recruiters TA leadership and shared services to ensure accuracy compliance and process efficiency for the daily tasks.
This position plays a key role in enabling a seamless scalable and compliant hiring process by ensuring operational excellence and proactive coordination across recruiting activities. The individual in this position handles low to high-volume transactional activities and recurring process support while contributing to special projects and maintaining system hygiene.
Key Responsibilities
Update requisition details (e.g. hiring manager grade location) in Workday.
Monitor and follow up on pending requisition and offer approvals.
Finalize requisition approval routing following Governance Approval Committee (GAC) decisions.
Maintain referral bonus tracking and process quarterly payout requests triage employee and recruiter questions related to the referral process.
Partner with and track operational tasks handed off to the Shared Services Center.
Assist with recruiting operations projects (e.g. training wrap-ups stakeholder coordination issue tracking).
Conduct Quality Assurance audits on recruiting process compliance (e.g. missing feedback system accuracy).
Generate and maintain recurring and ad hoc reporting for key stakeholders.
Maintain standard operating procedures (SOPs) templates intake forms and recruiting documentation.
Participate in TA office hours or support channels to triage and resolve operational questions.
Support the scoring tracking and maintenance of the Talent Acquisition OKR dashboard; ensure timely updates and flag gaps in progress reporting.
Coordinate logistics for ongoing TA projects including scheduling meetings tracking action items and maintaining project documentation.
Monitor Talent Acquisition JIRA tickets for timely resolution; follow up on outstanding issues and ensure accurate categorization and triage.
Submit JIRA tickets to HRIT/HRIS teams on behalf of the Talent Acquisition function ensuring completeness of information and proper routing based on issue type or system impacted.
Provide adhoc support of background processing initiation and follow-up.
Qualifications
Required:
1 3 years of experience in a recruiting coordination HR support or shared services role.
Familiarity with HR systems such as Workday and ATS platforms (SmartRecruiters preferred).
Strong attention to detail and organizational skills with consistent follow-through.
Proficiency in Excel Workday MS Teams Smartsheet or similar tools for tracking and reporting.
Clear professional communication and time management skills.
Preferred:
Experience working in a centralized HR or TA operations model.
Comfort using Jira Microsoft Planner or other project/task trackers.
Experience coordinating employee referral background check or offer letter processes.
