Coordinator Facility Management

We are seeking an experienced and motivated Coordinator Facility Management to join our team. This position provides daily administrative support to the Engineering and Facilities departments. This position must present a professional image be able to handle multiple tasks and have strong organizational and communication skills. The Coordinator Facility Management acts as a liaison between employees payroll and the Human Resources department.

What You Will Do:

  • Provide administrative support including phones email calendar management meetings office supplies files contracts and general duties.
  • Process payroll personnel documentation overtime reports invoices and purchase orders; assist with budget tracking and reconciliations.
  • Field maintenance requests dispatch engineering/operations calls and coordinate monthly shop meetings and safety documentation.
  • Manage engineering work order system: create track and report on work orders and preventative maintenance programs.
  • Maintain department records certificates manuals insurance documents and provide support to other departments as needed.
  • Other duties as assigned.

What We Need from Our Coordinator Facility Management:

  • Strong organizational multitasking and time management skills with keen attention to detail.
  • Excellent written/verbal communication and interpersonal abilities to collaborate with diverse stakeholders.
  • Proficient in Microsoft Office Suite and facilities management software such as CAFM CMMS.
  • Problem-solving mindset with a proactive approach and basic knowledge of building systems/maintenance.

Experience/ Education Requirements:

  • High school diploma or GED.
  • Degree in Facilities Management Business Administration or related field is a plus.
  • 2-3 years of experience in facilities management office administration or related field a plus.

  • Ability to transit throughout the arena for long periods of time.
  • This position works mainly indoors removed from extreme weather; exposure to weather is <5%
  • S-Sedentary Work Exerting up to 10 pounds of force occasionally.
  • Must be able to carry on a conversation both on the phone and in-person.
  • Ability to Read Write & Speak in English
