CORE JOB SUMMARY

The Chief of Staff serves as the senior administrative and operational leader for Miami Womens Basketball working directly with the Head Coach to oversee all aspects of program management. This position combines strategic leadership operational oversight and cross-functional coordination to ensure the program runs at the highest level both on and off the court. The ideal individual will have the ability to exercise good judgment in a variety of situations with strong written and verbal communication administrative and organizational skills and the ability to maintain a realistic balance among multiple priorities.

CORE JOB FUNCTIONS

Strategic Leadership & Program Alignment

  • Act as the primary advisor to the Head Coach on all operational and administrative matters.
  • Translate program goals into actionable plans ensuring alignment with Miami Athletics strategic objectives.

NIL Development Revenue Sharing and Cap Management

  • Lead high-impact initiatives including Name Image & Likeness (NIL) integration branding projects and community outreach.
  • Administer and monitor revenue share allocations roster limits and athletic scholarships.

Operational & Logistical Management

  • Direct team travel logistics: transportation lodging meals and itinerariesfor all away games tournaments and events.

International Admission Liaison

  • Oversee all aspects of admitting international students into the University of Miami.

Budget & Resource Oversight

  • Develop and manage the programs annual budget ensuring financial accountability and efficiency.
  • Oversee procurement expense reporting and purchasing card procedures.

Staff Supervision & Development

  • Supervise support staff interns and student managers to maintain operational excellence.
  • Coordinate interdepartmental communication between coaching staff compliance finance department and administration.
  • Facilitate onboarding and professional growth for staff members.

External Relations & Engagement

  • Coordinate fan engagement activities donor relations and alumni outreach.
  • Serve as the programs representative in external meetings media opportunities and athletic department functions.
  • Oversee community service projects and promotional initiatives in partnership with marketing.

Camp Executive

  • Plan and execute all aspects of summer camps.

Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with university policies and procedures.

Ensures employees are trained on controls within the function and on university policy and procedures.

Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS

Education:

Bachelors Degree in relevant field

Certification and Licensing:

Experience:

Minimum 5 years of relevant experience

Knowledge Skills and Attitudes:

  • Outstanding written and verbal communication skills
  • Highly organized and the ability to multi-task and prioritize efficiently
  • Knowledge of principles and techniques relative to social and athletic department communication
  • Ability to communicate effectively in both oral and written form. Proficiency in computer software (i.e. Microsoft Office)
  • Ability to maintain effective interpersonal relationships

DEPARTMENT ADDENDUM

Department Specific Functions

This position will be the organizational anchor of Miami Womens Basketballdriving strategic initiatives managing day-to-day operations and ensuring all program elements function seamlessly. This role will enable the coaching staff to focus on championship preparation while strengthening the programs culture efficiency and national profile.

Teamwork: Ability to work collaboratively with others and contribute to a team environment.

Technical Proficiency: Skilled in using office software technology and relevant computer applications.

Communication: Strong and clear written and verbal communication skills for interacting with colleagues and stakeholders.

Department Specific Qualifications

  • 10 years of experience in Division I womens basketball operations administration or related leadership roles.
  • Proven track record in budget management strategic planning and staff leadership.
  • Extensive experience in NCAA compliance and operational logistics.
  • Exceptional communication organizational and problem-solving skills in high-performance environments.
