JOB SUMMARY
The Database Manager is an individual contributor with no direct reports working as part of a small Philanthropy database team that includes the hiring manager and a part-time staff member. This position plays a hands-on role in managing MAP Internationals CRM Agilon One which supports over 26000 active donor records and fuels the success of the Philanthropy team.
The Database Manager will be responsible for the tactical execution of data management and reporting needs including generating mail lists for more than 15 fundraising campaigns annually preparing co-op donor and transaction reports and providing raw donor data every six months to refresh analytics in Power BI. While much of the role centers on accurate data reporting and execution the successful candidate will also use critical thinking and critical thinking skills to identify system improvements streamline processes and provide strategic insights to strengthen MAPs fundraising operations.
This is a highly collaborative role ideal for someone who is detail-oriented analytical and eager to learn yet also confident in advising on ways to maximize the organizations use of its CRM system.
ESSENTIAL DUTIES AND RESPONSIBILITIES
CRM UTILIZATION & SUPPORT
Learn and master the Agilon CRM system and how it supports MAPs fundraising and donor engagement efforts.
Serve as the Philanthropy teams go-to expert for CRM capabilities and best practices.
Translate Philanthropy business needs into technical CRM solutions.
Document and maintain standard operating procedures (SOPs) for data management and reporting processes.
Train new and existing Philanthropy members on CRM functions and workflows
Provide timely friendly and clear support for CRM-related requests from Philanthropy staff.
DATA MANAGEMENT & EXECUTION
Performing complex list pulls for appeals.
Import large data sets into Agilon accurately and efficiently.
Execute detailed and accurate data entry tasks.
Assist in data hygiene efforts.
REPORTING & ANALYTICS
Create and distribute recurring and ad hoc reports and dashboards for gift tracking appeal performance and donor metrics.
Assist in maintaining and optimizing the organizations dashboard in collaboration with the hiring manager.
Track and analyze key data to inform fundraising strategy and donor engagement.
COLLABORATION & PROJECT SUPPORT
Participating in cross-functional meetings to represent CRM capabilities and ensure alignment with Philanthropy goals.
Assist with special projects audits or organizational initiatives that require CRM or data support related to Philanthropy.
ORGANIZATIONAL RELATIONSHIPS
The Database Manager will collaborate closely with members of the Global Giving team including Direct Response Gift Officers and Marketing to support donor engagement and fundraising. This position will also collaborate cross-functionally with all departments to ensure data accuracy and alignment with organization dashboards. Externally the role may interface with vendors data services providers and consultants related to CRM tools list processing and data imports. Strong internal communication and relationship-building skills are essential to ensure the CRM system effectively supports MAPs fundraising goals.
QUALIFICATIONS
Experience with SQL queries or other reporting/query tools
Familiarity with direct response fundraising or donor segmentation strategy
Understanding of nonprofit fundraising lifecycle and revenue streams
Experience in training or onboarding others in technical systems
Customer service mindset when dealing with internal stakeholders.
High attention to detail with a commitment to data accuracy
Demonstrated ability to learn new systems quickly and independently.
Strong analytical and critical thinking skills
Excellent written and verbal communication skills
Experience with documentation and writing SOPs for technical or user processes.
Comfortable working independently and collaboratively in a fast-paced environment
Ability to manage confidential information with discretion.
EDUCATION AND/OR EXPERIENCE
3 years of experience in CRM/database management preferably in a nonprofit or fundraising environment
Proficiency with CRM software (experience with Agilon One or similar platforms such as Raisers Edge Salesforce NPSP or DonorPerfect preferred)
Understanding of SQL preferred. Complete additional SQL certifications are required within the first 6 months of hiring.
Strong Excel skills (VLOOKUP pivot tables conditional formatting data validation)
OTHER SKILLS AND ABILITIES
Complete assigned data hygiene projects based on the agreed upon cadence.
Deliver 100% of scheduled reports (campaign co-op Power BI refresh) by agreed deadlines
Generate ad hoc reports within 35 business days of request
Maintain dashboard accuracy rate of >95% with timely updates
Produce accurate mailing lists for 15 annual campaigns with zero errors impacting mailings
Turn around ad-hoc list pulls within 5 business days of request
Respond to internal CRM support requests within 2448 hours
Provide 23 team training sessions per year with 90% positive feedback from attendees
Create or update 10 SOPs annually to standardize recurring CRM processes
Propose at least 2 system/process enhancements per year that improve efficiency or reporting accuracy

This position requires the employee to regularly stand walk sit use hands to finger handle or feel objects reach with hands and arms and communicate effectively both verbally and in writing. The role involves prolonged periods of sitting at a desk and working on a computer for up to 8 hours per day with frequent use of hands and fingers for typing data entry and handling computer equipment. The employee must possess visual acuity sufficient for close work including reading detailed reports and viewing a computer screen. Fluency in spoken and written English is required along with the ability to communicate clearly via phone video conferencing and in-person. This role may require travel including long-haul international flights.
