Were searching for a highly experienced administrative professional to provide direct administrative support to the Executive Director and coordinate the administrative functions of the Executive Directors Office. This is accomplished by delivering complex administrative assistance to the Executive Director and the Executive Directors Office Team; participating in the departments program development and implementation; and providing administrative support to the Executive Board Regional Councils and/or Advisory Committees. Other duties may include supervising administrative staff in the completion of secretarial clerical and customer service duties.
Responsibilities include but are not limited to:
Delivers complex administrative assistance to the Executive Director and Office Team by composing various types of correspondences; reviewing materials for outside agency peer review panels; representing the manager at meetings; organizing and maintaining work files including confidential information; and serving as liaison with other departments and outside agencies.
Calendar Management: Oversee the Executive Directors calendar including scheduling and coordinating meetings events and personal appointments. Troubleshoot conflicts and ensure effective time management.
Meeting Preparation and Support: Arrange on-site meetings prepare agendas distribute required documents and coordinate follow-up actions. Take accurate meeting notes as needed.
Participates in the Departments program development and implementation by planning implementing and participating in various training programs.
Developing monthly staff meeting agendas; notifying and advising staff of departmental or agency policies procedures and regulations.
Developing and editing documents and publications; addressing concerns from callers and visitors; compiling and maintaining databases. May also coordinate the development of information for federal certification reviews.
Provides administrative support to Executive Board Regional Councils and/or Advisory Committees by drafting correspondences speeches resolutions and presentation materials; attending meetings; addressing questions and concerns from members; following up Committee action items; monitoring Committee appointments; assisting in bylaw revisions.
Serving as a liaison between the department/agency and Committee members.
Board Support: Collaborates with directors to prepare materials for Board meetings maintain accurate meeting notes and coordinate off-cycle meetings as needed.
Travel Coordination: Arrange all aspects of travel including accommodations transportation and meals.

Required Education & Experience:
Bachelors degree in communications business or related field and a minimum of 3 years of related work experience.
