Human Resources Coordinator - Payroll and Benefits

Fisher College a four-year educational institution located in the heart of historic Back Bay in Boston is hiring a Human Resources Coordinator - Payroll and HR Coordinator Payroll and Benefits is responsible for supporting the daily operations of the Human Resources function with a primary focus on payroll processing benefits coordination and maintaining accurate employee data within the HRIS system. This position ensures the timely and accurate execution of payroll and benefits transactions while serving as a key operational partner to staff faculty and student workers.

The ideal candidate will bring strong analytical and problem-solving skills a strategic mindset and a passion for improving processes and operational efficiencypaired with a demonstrated commitment to continuous learning collaboration and kind professional engagement across all levels of the the primary focus is on payroll and benefits the position offers broad exposure to core HR functions making it an excellent opportunity for someone looking to grow into an HR Generalist role.

This is an onsite position that requires attendance on Campus five days a week.

Principal Duties and Responsibilities include (but not limited to):

  • Prepares processes and reconciles bi-weekly payroll
  • Responsible for all aspects of payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries 403(b) benefits garnishments taxes and other deductions.
  • Responsible for data entry of Colleges HRIS systems specifically Paycom and records which include employee information for students staff and faculty new hires and changes.
  • Research and implement applicable taxation requirements to ensure compliance with federal state international and local payroll wage and hour laws and best practices.
  • Assist with internal and external audits.
  • Distribution of payroll reports to managers on a monthly basis as requested
  • Onboard employees using processes in Paycom and various Benefits applications.
  • Establish and leverage strong working relationships with Paycom and benefit vendors/brokers.
  • Manages employee benefits enrollments in the Paycom HRIS system due to qualifying events employee terminations including COBRA notices and employee PTO reconciliations
  • Reconciles monthly benefit billing and payroll to the general ledger
  • First point of contact for questions related to payroll medical insurance COBRA Workers Comp Leaves of Absence PTO etc.
  • Assist employees in resolving payroll/benefits issues timely and accurate.
  • Assist employees with benefits enrollment changes and inquiries.
  • Recommend develop and implement new technology and procedures for greater efficiency.
  • Plan and coordinate new employees benefits orientation and annual open enrollment.

Other Duties and Special Projects:

  • Conduct verification of employment for all external agency requests.
  • Assist in training managers staff and students in recording time and using timesheet software.
  • Clearly communicate and provide guidance and training to students staff and supervisors related to time entry approval deadlines etc.
  • Update and maintain payroll policies and procedures manuals.
  • Maintain employee records and collaborate with Human Resources on special projects.
  • Collaborate with the Human Resources and Finance Team to identify opportunities for process and control improvements.
  • Assist with financial reports audits (internal and external) and other special projects.
  • Attend and participate in department campus and company-wide meetings as necessary.
  • Performs other duties as assigned.

Requirements/Qualifications:

  • Associate degree required bachelors degree in HR Accounting or a related field preferred.
  • HR certification (e.g. PHR SHRM-CP) or a masters degree in human resources is a plus.
  • Minimum of three years of directly applicable experience in human resources support payroll and benefits.
  • Experience in Higher Education is preferred.
  • Experience with HRIS is required: Familiarity with Paycom or a comparable HRIS platform is preferred.
  • Proficiency in Microsoft Office particularly Excel and a general comfort with HR technologies.
  • Strong understanding of payroll processes wage and hour laws and benefits administration.
  • Knowledge of employee eligibility and authorization requirements including familiarity with I-9 compliance and working visa processes (e.g. F-1 OPT H-1B).
  • Strong analytical and research skills are required including utilizing technology to perform data analysis and evaluation.
  • Superior customer service and interpersonal communication skills.
  • Demonstrated ability to manage confidential information with the outmost discretion.
  • Proven ability to take initiative act promptly and follow through on assignments in a timely manner.
  • Excellent organizational skills with the ability to manage multiple priorities in a deadline-driven environment.
  • Flexibility and desire to work with non-routine situations and exceptions and to plan and organize work while managing many priorities independently.
  • Demonstrated integrity respect and a sincere desire for service.
  • Influential team member and builder of productive and engaging working relationships.

Additional Requirements:

  • The position requires 7-8 hours of desk work involving repetitive keyboarding ongoing use of the computer and telephone and frequent student and staff interactions to address payroll and benefits questions.
