Job Purpose

As a Billing Specialist at Sterling Crane you play a critical role in ensuring accurate and efficient financial operations at the branch. This position is responsible for payroll processing client invoicing vendor billing accounts receivable management and administrative compliance. The Billing Specialist works closely with operations sales and accounting teams to ensure smooth financial processes while maintaining a high level of accuracy and customer service.

Key Responsibilities

Payroll Processing

  • Process and verify weekly payroll for hourly employees ensuring accuracy and timeliness.

  • Address payroll discrepancies and maintain payroll records in compliance with company standards.

Client Invoicing and Accounts Receivable

  • Oversee preparation and submission of client invoices ensuring they are accurate and issued on time.

  • Ensure invoices are uploaded and confirmed after each billing cycle.

  • Monitor and manage accounts receivable including follow-ups on billing issues and timely processing of COD accounts.

  • Collaborate with clients to resolve billing disputes.

  • Address client inquiries related to invoicing.

Vendor and Supplier Invoicing

  • Process vendor and supplier invoices ensuring accuracy and adherence to purchasing guidelines.

  • Collaborate with the accounting team to resolve invoice discrepancies.

Administrative and Compliance Tasks

  • Conduct administrative audits to ensure compliance with internal standards and external regulations.

  • Organize and maintain document control systems for easy access and retrieval.

Other Administrative Duties

  • Develop and implement efficient administrative workflows and best practices across the branch.

  • Provide general office support as needed to ensure smooth branch operations.

Qualifications

  • High school diploma or equivalent required; Associate degree in Accounting Finance or Business preferred but not .

  • 5 years of experience in billing payroll accounts receivable or a related accounting role.

  • Proficiency in Microsoft Office Suite (Excel Word Outlook).

  • Experience with accounting

  • Strong attention to detail accuracy and organizational skills.

  • Ability to manage multiple priorities and meet deadlines.

  • Strong written and verbal communication skills.

  • Customer service orientation with problem-solving ability.

Working Conditions

  • Office-based role in Midland TX branch location.

  • Standard MondayFriday schedule with occasional overtime as needed during payroll or month-end closing.
