Compensation: Full-time at $6$15/hour depending on experience $1040 $2600 per month

What to Expect
The role as a Construction Administrator means you will wear many hats. Your role will not be limited to a single realm; rather you will often be juggling several tasks in different areas with various deadlines.

Each week we will have a 30-60 minute meeting to discuss the upcoming week tasks that need to get done anything you need help with and to discuss how everything is going from both points of view (yours and your managers). This longer meeting will be supplemented with shorter check-ins throughout the week.

The Construction Administrator will be in direct contact with the construction managers and project managers of various ongoing projects.

What Youll Do

Administrative & Documentation

  • Maintain and organize all project files including contracts permits plans and change orders.

  • Prepare review distribute and track construction documents RFIs plan revisions and meeting minutes.

  • Track and collect lien waivers certificates of insurance (COIs) permits and other compliance documentation.

  • Update any project-related software.

Scheduling & Coordination

  • Assist project managers with creating and updating construction schedules.

  • Coordinate communication between project managers field staff subcontractors architects and engineers.

  • Schedule inspections utility connections and deliveries.

  • Track long-lead items and ensure procurement aligns with project timelines.

  • Assist with procurement of materials.

Financial & Cost Tracking

  • Process invoices pay applications and purchase orders; verify accuracy against contracts.

  • Maintain budget tracking logs.

  • Assist with biddingsending bid packages tracking responses and compiling comparisons.

  • Support draw requests and documentation for lenders.

  • Assist in receipt filing for bookkeeping.

Field & Quality Support

  • Collect and compile daily field reports from superintendents or construction managers.

  • Assist with punch list preparation and follow-up.

  • Coordinate warranty and closeout documentation.

  • Monitor material deliveries and reconcile against purchase orders.

Communication & Reporting

  • Serve as a central point of contact for subcontractors and vendors.

  • Draft and distribute weekly project updates to stakeholders.

  • Support project managers in preparing reports for ownership and lenders.

General Office Support

  • Manage office supplies construction site documentation and project binders.

  • Assist with permit applications and licensing paperwork.

  • Organize pre-construction and progress meetings including agenda preparation and note-taking.

What Youll Bring

  • Minimum 2 years of experience as a construction administrator or similar supporting role.

  • Strong planning organization and prioritization skills.

  • Excellent interpersonal communication skills both verbal and written.

  • Ability to learn quickly and embrace new and creative ways to solve problems.

  • Self-starter who is results-oriented resourceful innovative intellectually curious and takes initiative.

  • A joyful approach to work and life; a sense of humor highly recommended.

  • Ability to communicate professionally and proactively to both internal and external stakeholders.

  • Ability to call US phone numbers.

  • Comfortable with technology including Google Drive Google Sheets Google Documents website structures and more.

  • Preferred: Experience in social media marketing.

  • Preferred: Prior residential construction experience and understanding of residential construction.
