Summary:
We are seeking a proactive professional and highly organised Executive Assistant to support the work of Jean Hailes Chief Executive Officer while also collaborating closely with the Senior Leadership Team. The ideal candidate will be able to juggle multiple priorities pre-empt needs manage a broad range of stakeholders and maintain confidentiality. This role requires being on-site in our Melbourne CBD Office.
Key responsibilities:
Youll be responsible for:
Managing complex diaries inboxes and priorities for the CEO
Preparing high-quality agendas minutes reports and presentations
Supporting Board and Committee meetings through document preparation and logistics
Handling key administrative tasks including document formatting and management
Providing occasional administrative support for the Senior Leadership Team particularly to manage external meetings
Offering occasional reception support
Liaising with a wide range of stakeholders
To be successful in your application you will have:
Proven experience supporting senior leaders in an EA or PA capacity
Experience supporting Boards and Board sub-committees
Excellent written and verbal communication skills
Strong attention to detail and the ability to stay several steps ahead
Confidence with Microsoft Office Teams and SharePoint
A high level of discretion and the ability to handle sensitive information
A friendly collaborative attitude and a genuine desire to be part of a positive team culture
