Join the Civmec Team

We are seeking an organised proactive and detail-oriented Office Administrator to provide administrative and coordination support to our Design and Engineering Division in Perth. This role is key to ensuring smooth day-to-day operations effective communication and efficient workflow within the team.

The Role

  • Provide administrative support to the Design and Engineering leadership team including scheduling meetings preparing documents and managing correspondence.
  • Maintain and update project documentation registers and databases in line with company standards.
  • Coordinate travel bookings accommodation and itineraries for team members as required.
  • Assist in onboarding new staff including preparing induction materials and ensuring compliance with company policies.
  • Manage office supplies equipment and general facilities requirements for the division.
  • Assist in preparation of reports presentations and tender documentation.
  • Support timesheet submissions expense claims and invoice processing.
  • Ensure all administrative processes align with Civmecs safety quality and confidentiality standards.

About You

To be successful in the role you will possess the following:

  • Previous experience in an administrative or office support role ideally within an engineering construction or industrial environment.
  • Certificate III or IV in Business Administration (desirable but not essential).
  • Valid drivers licence.
  • Proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint).
  • Strong organisational and time-management skills with the ability to manage competing priorities.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy in document preparation and data entry.
  • Ability to work both independently and collaboratively within a fast-paced team environment.
  • Knowledge of document control systems will be highly regarded.
