POSITION SUMMARY:
The Tradeshow & Events Coordinator manages and executes all aspects of the companys tradeshow and event programs and performs sales and marketing support activities that are event and marketing adjacent. Major duties include daily event management coordination and administration of at least 30 or more annual events occurring nationwide. Other duties may be assigned to meet emerging business needs.
This is a full-time non-exempt position; Monday Friday 8:00 a.m. 4:30 p.m. and is located in Tumwater WA. This position works cross-functionally with multiple departments to achieve company goals. Responsibilities herein represent typical elements and criteria considered necessary to perform the job successfully. Other duties may be assigned to meet emerging business needs.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Coordinates and executes all aspects of trade shows and events from contract management to materials planning and shipping coordination personnel scheduling event catering vendor communication asset & furniture management and more under supervision of their manager.
- Works closely with sales & education teams to coordinate track and document regional wholesale and practitioner education events.
- Provides reports and maintains SOPs for event related ordering including samples swag literature and signage.
- Collects data and assists in providing show evaluations including process improvement asset management and overall show success as determined by metrics.
- Provides outreach to proposed events and solicits information for planning purposes.
- Schedules meetings and other administrative duties for event related planning.
- Develops and maintains a tradeshow marketing calendar.
- Creates manages and maintains a marketing tradeshow & travel budget.
- Works cross-functionally with various teams including purchasing shipping key customer reps sales marketing and education teams as a communication hub to support all aspects of tradeshow and event logistics.
- Project manages incoming requests related to tradeshow and events.
- Frequently assists with travel reservations (hotel flights etc.) for Sales & Marketing teams.
- Available occasionally on weekends for a phone call in event of emergencies.
- Travel to events as needed to serve as onsite coordinator and assist with booth setup and dismantling (up to 4 times a year).
- Provide administrative support for other marketing projects as needed.
KEY REQUIREMENTS & QUALIFICATIONS:
- Two (2) years experience in event planning & coordination required.
- One (1) years experience budgeting coordination and planning preferred.
- BS/BA in Marketing Communication Business or related field; relevant work experience may be considered in lieu of a degree.
- Intermediate or expert level skills with Microsoft Office Suite required.
- Excellent organizational skills and habits and ability to prioritize required.
- Excellent skills in managing and tracking details.
- Excellent written and oral communication skills
- Ability to positively interact with a variety of stakeholders and the marketing team.
- Ability to effectively manage multiple projects within established target dates.
- Ability to maintain poise and be respectful in stressful situations.
- Ability to self-monitor and work independently yet know when to seek direction or ask for help.
- Experience with SAP and project management systems like Asana is a plus.
- Basic level skills set or familiarity with Adobe Design Suite or Canva is a plus.
- Possess a valid driver license acceptable in the state of Washington.
PHYSICAL & MENTAL REQUIREMENTS:
- Ability to sit for prolonged periods of time; a stand-up desk is available on request.
- Ability to lift up to 40 lbs. on an infrequent basis.

Salary Range (DOE): $27.40 - $37 per hour
