Under general supervision performs a wide variety of secretarial and routine administrative functions for one to three directors and/or management personnel. Incumbents holding these positions must possess considerable knowledge of the assigned agency/departmental programs terminology policies and procedures.
Management Assistant III is the advanced journey level classification in this job series. Incumbents independently perform secretarial and administrative support duties in support of department or agency heads.
The ideal candidate
The ideal candidate is a detail-oriented professional with excellent organizational time management problem solving interpersonal and communication skills and displays initiative and adaptability to shifting addition the ideal candidate will be computer literate with strong Microsoft Word Excel PowerPoint SharePoint and Visio skills; experience working with financial software and will have substantial experience taking meeting minutes creating memos positing meeting agendas and demonstrated experience adhering to the Brown Act and open meeting requirements as well as the ability to address public inquiries with sensitivity tact diplomacy and consistency with department rules practices and protocols. They will also maintain confidentiality and professional decorum. Furthermore the ideal candidate will have the ability to independently perform a variety of advanced administrative functions using department policies and procedures.
EDUCATIONAL/BILINGUAL INCENTIVE
Possible educational incentive of 2.5% 3.5% or 5% based on completion of an Associates Bachelors or Masters degree.
Incumbents may also be eligible for bilingual incentive depending upon operational need and certification of skill.

EDUCATION TRAINING AND EXPERIENCE
Considerable secretarial and administrative office experience which has led to the acquisition of the required knowledge and abilities. The required knowledge and abilities also can be obtained by:
Any combination of education training or experience equivalent to three (3) years of increasingly responsible secretarial or administrative support experience.
NOTE: Secretarial or administrative support experienceiswork best representedby a high degree of independent and personal discretion while using department policies and procedures toaddress operational details like screening referring appropriately or personallyresolving issues that maynot requirea directors or amanagers personal attention.

WRITTEN EXAMINATION - 100%: A non-proctored online internet-based job-related written examination will be conducted to test applicants knowledge skills and abilities in relation to customer service/office practices interpersonal relations comparison English usage math reading comprehension and filing/records management. Applicants must earn a score of seventy percent (70%) or higher to qualify for placement on the eligible list.
Applicants successfully completing the examination process may be placed on an eligible list for a period of one (1) year.
