Job Description

Job Title: Medical Support Assistant (MSA)

Specialty: Administrative / Scheduling Support (VA Patient Services)

Place of Work (City/State): Helena VA Sleep Center

Location: 2271 Deerfield Ln Helena MT 59601

Duration: 1 year contract with possibility of 1 more year extension
Shift Schedule: Monday Friday 8:00 AM 4:30 PM

Education:

  • High School diploma or GED equivalent required

Minimum Qualification / Experience:

  • Oral and written English proficiency
  • Basic computer skills (Microsoft Office: Word Excel Outlook Teams)
  • Typing speed: 50 WPM minimum
  • Knowledge of medical terminology preferred
  • At least 24 months of relevant experience within the past 36 months preferred

Responsibilities:

  • Serve as scheduler/receptionist for outpatient services ensuring compliance with VHA Directive 1230 & 1232.
  • Perform appointment scheduling tracking pre- and post-appointment contacts.
  • Validate and update patient demographic data in CPRS and VistA systems.
  • Manage community care consults via HSRM PPMS and related VA systems.
  • Screen and receive phone calls courteously; respond to inquiries and route appropriately.
  • Provide excellent customer service to Veterans families staff and providers.
  • Ensure compliance with VA policies on patient privacy IT security and HIPAA.
  • Support team operations by participating in daily huddles reporting system issues and assisting lead schedulers.
  • Perform other duties as assigned including quality assurance records management and compliance training.
