General Description
The Personal Assistant / Administrative Assistant oversees and manages the schedules for the Director of Admissions and Advancement in addition to supporting and leading projects and events within the Admissions and Advancement department. The handling of confidential and sensitive matters is an integral part of the role and working at the highest levels of integrity confidentiality and trustworthiness is expected. This is a dynamic and diverse role with a wide range of activities that require exceptional organisational and communication skills. The Personal Assistant/ Administrative Assistant reports to the Director of Admissions and Advancement and works closely with all members of the Admissions and Advancement Team.
This role is a parttime role (the exact workload has yet to be determined).
General Responsibilities
- Provide administrative and logistical support across all functions of the Admissions and Advancement Department including:
- Admissions
- Advancement (including fundraising and alumni relations)
- Marketing and Communications
- Community Engagement
- Efficiently manage the Director of Admissions and Advancements calendar and schedule appointments meetings and events ensuring preparation for meetings and all commitments that the necessary information is available beforehand and the completion of all followup actions.
- Support with the logistics of meetings events conferences travel schedules etc..
- Process expenses manage departmental documentation and maintain team calendars and shared resources.
- Plan design and implement different projects.
- Structure and coordinate projectspecific activities.
- Support the planning documentation and administration of strategic initiatives including the schools Capital Campaign.
- Track and update project timelines and milestones; ensure team members are aware of and meet deadlines.
- Maintain campaignrelated records and coordinate the preparation of communication materials with the Marketing and Communication team.
- Collaborate coordinate and liaise with other personal assistants and share work when appropriate.
Required and Preferred Qualifications
- Ability to work in a diverse international community that is also deeply connected to the local community
- Experience in a similar position including project management/support
- Experience in event management and open to working with various school stakeholders
- Exceptional organisational skills attention to detail and highly reliable

- Proficiency in using standard office suites for business such as Google Workspace and demonstrated knowledge of database maintenance
- Fluent in English (written and spoken)
- Proactive organised and detailoriented
- Familiarity with CRM systems (e.g. HubSpot Veracross) and digital tools (e.g. Google Workspace Canva Trello or other project management platforms) is an advantage.
