We launched our innovative medical devices in the US in 2024.

Position Overview

We are seeking a Swiss-based Administrative Assistant with a hands-on attitude and spirit for small companies. You will support Odnes management with the day-to-day running of the Swiss mother company as well as the US-subsidiary. This includes HR contracting & data management fundraising IT office management and support for Odnes board. Further you will collaborate with our external accountants on processing invoices receipts and expense claims. We work with modern IT systems and automate and optimize workflows wherever possible. Potentially you will also work with our marketing team on digital marketing tasks and support quality management tasks.

Tasks

  • General tasks: organize mail reply to general emails coordinate with external providers (lawyers accountants IT firm logistics providers other suppliers).
  • HR: organize hiring & onboarding processes employee development and payroll (together with the accountant).
  • Contracting & data management: organize & archive contracts. Maintain the companys SharePoint file system.
  • Fundraising: organize communication with potential new investors coordinate due diligence and capital increase processes together with the management.
  • IT: train new team members on the IT systems. Provide 1st level support for IT issues. Coordinate more complex issues with an external IT firm.
  • Office management: maintain the office infrastructure organize supplies and in- and outgoing shipments.
  • Board of Directors: organize board and investor meetings. Draft & distribute minutes.
  • Bookkeeping & Accounting: processes supplier invoices credit card receipts and expense claims.
  • Marketing (potentially): Create and manage social media campaigns. Customize and manage our HubSpot CRM.
  • Quality management (potentially): manage quality events orders suppliers and equipment. Organize updates of SOPs and training.

Requirements

  • Education: Degree or background in administration preferably in small companies.
  • Admin: firsthand knowledge of the Swiss tax & social security system employment and admin practices. Experience of US practices is a plus.
  • IT skills: Detailed knowledge of Microsoft 365 Tools including Outlook Team SharePoint and Word/Excel/PowerPoint. Experience in HubSpot Shopify or WordPress is a plus.
  • Working style: Detail-oriented proactive flexible and willing to learn.
  • Language: Fluency in English both written and spoken. Ability to communicate clearly and correctly to internal and external stakeholders. Knowledge of German or French is a plus.
