About You

We are looking for an enthusiastic and organized Office Coordinator to join our team in Zurich on a fixed-term contract to cover a maternity leave from November 2025 through April 2026. In this role you will play a key part in ensuring the smooth operation of our office and supporting our team during this important period. Your Responsibilities 

As our Office Coordinator youll play a vital role in the smooth day-to-day operations of RepRisks Zurich office while also supporting our global offices in line with our values. Youll be the go-to person for all office-related matters helping to create a positive productive and sustainable work environment.

This is an office-based role where you will:

  • Be the welcoming face of our Zurich officegreeting visitors liaising with service providers and assisting team members with their daily office needs.

  • Participate in global office alignment and sustainability committees helping to bring company-wide initiatives to life at the local level.

  • Oversee office supplies and coordinate with local IT support handling maintenance and administrative tasks to keep operations running smoothly.

  • Plan and organize local events and team activities with attention to sustainability engagement and budget considerations.

  • Support office budgeting by tracking costs and managing minor investments.

  • Lead local safety and emergency procedures including organizing trainings and keeping documentation up to date.


Qualifications :

You Offer

  • Proven experience in a similar office coordination or office management role ideally within fast-paced international mid-sized companies.

  • Strong digital skills and confidence using modern workplace toolsespecially MS Office Teams Planner Excel and PowerPoint.

  • A natural sense of hospitalityyou genuinely enjoy creating a welcoming and supportive environment.

  • Excellent multitasking and prioritization abilities with a hands-on can-do attitude.

  • Strong communication and interpersonal skills with the ability to connect with people at all levels.

  • Experience in planning and organizing events is a strong plus.

  • Full professional fluency in both German and English.
