Umwelt is an Australian owned and run environmental consultancy that has been operating for over 35 years across Australia. We are a team of vibrant professionals with experience across a range of sectors including renewables infrastructure defence regulation and policy resources and the urban development sector.

Due to the growing need for dedicated administration and office coordination in our Brisbane office we are seeking an Office Coordinator to keep things running smoothly.

Reporting into the National Executive Support & Administration Manager this position is responsible for co-ordinating the day to day administrative operations of our Brisbane office and providing support to the QLD Regional Director in the execution of their RD duties and functions. This dynamic role requires a proactive organised and resourceful individual who can provide office coordination and conduct a broad array of administrative tasks. The role will be expected to continuously identify opportunities for process improvement and efficiency in office operations and administrative functions as well as implement solutions and best practices to enhance overall productivity. You will be a part of the national administration team and also undertake other tasks and/or relief work for other parts of the business as required.

Key Responsibilities:

  • Oversee the daily operations of the Brisbane office ensuring it runs smoothly
  • Co-ordinate the weekly office meetings and emails in collaboration with the Regional Director
  • Maintain office supplies equipment IT and vendor relationships
  • Assist in the onboarding of new employees including workspace setup. Assist with the offboarding process for departing employees
  • Answer incoming phone calls
  • Maintain organised filing systems and databases for easy access to critical information and documents
  • Handle ad-hoc tasks and challenges provided by the Regional Director with a proactive and solution oriented approach
  • Co-ordinate office maintenance and repairs as needed
  • Provide regionally based administrative support for corporate services functions initiatives and projects
  • When required assist with project based administrative tasks including word processing of reports letters and briefing notes
  • Undertake other specific tasks as directed by the Executive Manager National Administration Manager or nominee including support for agreed business functions or initiatives as appropriate
