Reporting directly to the Chiefs of each department this role will serve as a key point of contact for internal and external partners. The coordinator will be responsible for managing day-to-day project and program tasks ensuring the seamless execution of grantmaking community initiatives marketing and communications efforts. This includes overseeing critical processes tied to the organizations strategic plan and driving projects from conception through to completion. The ideal candidate must demonstrate extensive experience in project management with a proven ability to handle multiple tasks simultaneously maintain professionalism and uphold confidentiality throughout all responsibilities. Essential Functions & Responsibilities: - Administrative duties including but not limited to generating team and committee meeting minutes and updating project management platforms.
- Scheduling internal and external meetings for both chiefs and team members as requested.
- Coordinating expense reporting and tracking budget expenses for both chiefs.
- Drafting sending and fielding responses to email communications and/or mailings to stakeholders.
- Maintaining shared calendars for departmental activities as needed.
- Coordinating administrative elements of grantmaking processes including generating and organizing award letters grant agreements and other documents.
- Researches prioritizes and follows up on inquiries regarding their departments which includes those of a sensitive or confidential nature. Determines appropriate course of action referral or response.
- Prioritizes conflicting needs; handles matters expeditiously proactively and follows through on projects to successful completion often with deadline pressures.
- Supports the project management of various dynamic projects sometimes simultaneously.
- This position may serve as backup support to the Front Desk Coordinator and assisting in the setup to internal meetings.

Preferred: - Bachelors degree in business or other related field
