Veterinary Practice Partners (VPP) is a management company that forms joint ventures with Veterinarians to co-own and run their veterinary practices. Once the joint venture is formed VPP provides support and leadership for marketing financial operations IT and human resources functions while the veterinarian leads the clinical and client services functions. VPP currently has 180 partner hospitals with 3800 employees and continuing to grow. VPP is a dynamic profitable growth company with strong financial backing from a NC based private equity firm.

Responsibilities:

The Benefits Coordinator is primarily responsible for the day-to-day functions of leave of absence administration but also serves as a supporting position for all company benefits for our corporate office and locations nationwide. This person will also be responsible for other human resources functions as assigned.

This position requires a high degree of organization professional communication confidentiality and attention to detail. This position plays a critical role in supporting employee well-being and ensuring legal compliance while fostering a culture of care trust and accountability within the organization.

Essential Responsibilities:

Leave of Absence Administration:

  • Serve as the subject matter expert on all leave-related policies and procedures.
  • Administer leave programs in accordance with FMLA ADA USERRA and other applicable state laws.
  • Review and process leave requests including medical certifications and documentation.
  • Maintain accurate records of leave cases and ensure timely communication with employees and hospital leaders.
  • Collaborate with Payroll Benefits and HR Business Partners to ensure seamless leave administration.
  • Provide guidance to employees regarding eligibility documentation requirements and return-to-work procedures.
  • Monitor state leave trends and requirements.
  • Coordinate with third-party administrators insurers and state agencies when applicable.
  • Maintain accurate leave records ensuring both confidentiality and compliance with HIPAA and other privacy regulations.

Benefit Operations & Administrative Support:

  • Assist with monitoring the Benefits & Leave Team Inboxes to ensure timely communication and responses.
  • Serve as lead contact for disability insurance hospital indemnity critical illness and life insurance claims including education and employer support for claims.
  • Assist with the open enrollment process and day-to-day benefits administration such as processing life events that may arise from a leave.
  • Manage the collection of benefit deductions during and upon return to work from leave cases through payroll and direct payment system.

Qualifications:

  • Bachelors degree in human resources Business Administration or related field preferred.
  • 2 years of experience in a HR or Benefits position with at least 1 year of experience administering FMLA and leave policies internally.
  • Demonstrated knowledge of leave administration processes and HR compliance.
  • Technical experience with various payroll systems a plus especially fully automated self-service processes.
  • Thorough understanding of HR policies and processes including wage and hour laws as well as HRIS and reporting expertise.
  • Strong verbal and written communication skills with a high sense of urgency and ability to effectively communicate sensitive and confidential information with empathy.
  • Must be detail-oriented and able to work independently as well as within a team.
  • Experience with Paycom application is a plus but not required.
  • Experience supporting or working closely with HR leadership is a plus.
