Job Description

Catholic Community Parishes of South Washington County is seeking a Bi-lingual Administrative Assistant. The Administrative Assistant is a welcoming presence for all who visit work in or call the office.The Bi-Lingual Administrative Assistant is a member of the pastoral staff responsible to the Pastor. The Bi-Lingual Administrative Assistant works in collaboration with all parish staff members to ensure the coordination and communication with those involved in various aspects of Pastorate ministry. This is a 34 hour per week position holding Pastorate wide responsibilities but based at the front office at St. Joseph Church. Hours for this position are Monday through Thursday from 8:30am - 4:00pm and Friday from 8:30am 12:00pm with an additional hour provided to deliver liturgy binders bulletins etc. to St. Augustine Church and St. James Church. On rare occasions evenings or weekend hours are required.

The mission of The Catholic Parishes of South Washington County is To Love Serve Encounter/Amo Servo the service of this mission the role of the Bi-Lingual Administrative Assistant is to provide administrative support and coordination for the pastoral ministry needs of the parishes of the Pastorate.

Essential Functions

  • Oversees timely opening the St. Joseph office Monday through Friday.
  • Answers the phone and responds to voicemails in a timely fashion and greets visitors at the St. Joseph Office with a professional friendly demeanor. Maintains confidentiality in areas such as financial records counseling situations and other private matters.
  • Provides visitors with direct assistance within the scope of authority or referring them to the appropriate staff person. Directs guests to be seated in the reception area and notifies staff of appointments. Serves as resource of information to staff members of the pastorate and other parishes.
  • Serves as verbal/written translator for English/Spanish for the Pastorate.
  • Maintains an organized clutter free environment at the front desk of St. Joseph as well as organization of the supply closets in the main office.
  • Maintains Church sacramental records according to archdiocesan procedures; prepares sacramental documents (baptism marriage certificates etc.).
  • Composes edits and types the weekly Bulletin in both English and Spanish uploads the Bulletin to the Pastorate website and the website of the printing company to facilitate printing. Serves as liaison to the Bulletin printing company for the Pastorate.
  • Types and assembles the weekly Presider and Lector binders for weekend & seasonal liturgies.
  • Serves as staff coordinator for creates the layout and types the Pastorate annual fiscal report and the Diocesan Annual Consolidated Report (ACR) for the Pastorate.
  • Schedules and documents Mass intentions in the liturgical calendar and assists parishioners with Mass cards.
  • Manages both the parish calendar and the Pastors personal calendar.
  • Maintains Pastorate website and updates Pastorate social media platforms.
  • Assists with parish bulk mailings and day to day correspondence.
  • Assists with the documentation for the parish census usually conducted in the spring.
  • Attends and takes minutes for staff meetings. Supports the Pastor with Regional Clergy meetings and Corporator meetings.
  • Operates various office machines; photo copier paper folding machine computer etc.
  • Other duties as assigned by the Pastor.

Position Qualifications

  • Minimum of a high school diploma or equivalent.
  • The ability to speak read and write clear English is required.
  • Must be fully bi-lingual; Must be able to fully communicate in both the spoken and written word.
  • Excellent communication and interpersonal skills.
  • Excellent discretion and judgment to serve all who seek assistance and to maintain appropriate confidentiality.
  • Must be able to work collaboratively with clergy staff and volunteers as well as effectively prioritize tasks and meet timelines.
  • Computer competency in Microsoft Office and ability to learn parish-specific database systems.
  • General knowledge of the Catholic faith and our practices is preferred.
  • Must model Christian attitudes and behaviors and adhere to the Archdiocesan Code of Conduct.

Range: $17.00 - $20.00/hourly

Base salary compensation will be determined based on factors such as geographic location skills education experience for this role and/or internal equity of our current employees as part of any final offer. Employees may be eligible for a discretionary bonus which is determined upon company and individual performance.
