About the Organization
At Ronald McDonald House Charities British Columbia and Yukon (RMH BC) we envision a province where families stay close to their sick children. Today 2 out of 3 Canadians live in a city or town without a childrens hospital. Our Mission is to give sick children the healing power of being together with family.
As a champion of family-centered care we enable access to childrens hospitals by providing families with accommodation meals and wellness programs that support their emotional and physical well-being during one of lifes most difficult times.
Since opening our first 13-bedroom House in Vancouver in 1983 RMH BC has continued to grow to meet the rising need for 2014 we opened a new 73-bedroom House on the grounds of BC Childrens Hospital along with a 2000 sq. ft. Ronald McDonald Family Room inside Surrey Memorial 2025 we expanded once again opening a new Family Room at Royal Inland Hospital in Kamloops bringing comfort care and a place to rest to families in the BC Interior.
As the second-largest Ronald McDonald House in Canada and one of the largest in the world RMH BC is planning for even greater impact. With exciting expansion plans underway we aim to double our capacity and impact across BC and the Yukon over the next five years ensuring even more families can stay close when it matters most.
Our team is the backbone of this mission; serving families supporting volunteers and donors and helping spread awareness every single day.
Reporting to the Director Donor Engagement the DatabaseCoordinator will play a critical role in maintaining the integrity of our donordatabase (RENXT/Raisers Edge) ensuring accurate and timely data managementand supporting fundraising strategies through clean data practices andcompliant tax receipting.
The successful candidate will be a detail-oriented andtech-savvyindividual who is excited to join a vibrant and dedicatedfundraising team.
Key Responsibilities:
Database Management & Integrity
- Record and process donations sponsorships recurring payments gifts in kind and other revenues in RENXT/Raisers Edge database.
- Perform regular data imports and exports in RENXT/Raisers Edge.
- Track and process event registrations sponsorships and fundraising activities.
- Maintain clean accurate and up-to-date donor records.
- Assist with month end reconciliations including supporting accounting processes.
- Follow policies and procedures of RENXT/Raisers Edge database.
- Ensure all data entry and management practices align with organizational standards and privacy regulations in British Columbia.
- Generate tax receipts to meet turnaround time of 48 hours.
- Maintain documentation and processes to ensure CRA compliance.
- Assist with pulling standard reports for fundraising and donor engagement.
- Support the development of custom reports under guidance from the Sr. Data Management Officer.
- Develop invoices and other documentation to support revenue collection.
- Provide on-site support for gift administration during fundraising events.
- Collaborate with the events team to ensure accurate and timely data capture.
- Support the development of data tracking processes with long term cross function goals.

- Experience working with RENXT/Raisers Edge or similar CRM/database systems.
- Strong attention to detail and commitment to data accuracy.
- Works well within a team fostering a respectful and cooperative atmosphere where shared goals are achieved through open communication and mutual support.
- Strong Skills in Excel and basic data manipulation.
- Proficiency in the following reporting tools would also be an asset: Crystal Reports Power BI Power Automate Power Query and Power Pivot.
- Familiarity with Canadian tax receipting standards and privacy laws (especially BC-specific).
- Continually learns and applies knowledge; gives receives and acts on constructive feedback.
- Ability to manage multiple tasks and priorities efficiently while meeting time-sensitive deadlines in a supportive and well-structured environment.
- Excellent organizational and time management skills.
- Available to occasionally work evenings.
